We are looking for a proactive Administrative Assistant to support daily business operations in Torrance, California. Responsibilities:
• Manage front desk activity, greet visitors, answer inbound calls, and direct inquiries in a helpful and attentive manner.
• Handle invoice processing and provide administrative support for billing follow-up and collection-related tasks.
• Maintain accurate filing systems, records, and business documentation to support efficient day-to-day operations.
• Assist with employee onboarding materials and help keep personnel documentation organized and up to date.
• Prepare and distribute internal notices, updates, and routine communications across teams.
• Coordinate meetings, company gatherings, and other internal or external events, including scheduling and logistical support.
• Monitor office equipment, track fixed assets, and help ensure workplace resources are properly documented.
• Manage supply inventory, submit purchase orders as needed, and keep the office stocked for daily use.
• Provide general administrative assistance, data entry, and cross-functional support to departments throughout the organization.
• Prior experience in an administrative, office support, or receptionist-focused role is preferred.
• Strong written and verbal communication skills in English with the ability to interact effectively with employees, clients, and vendors.
• Proven ability to manage multiple priorities, stay organized, and meet deadlines in a fast-moving environment.
• Detail-oriented approach with strong customer service skills and a dependable attitude toward daily responsibilities.
• Proficiency with Microsoft Office applications, including Word, Excel, and Outlook.
• Experience with data entry and familiarity with accounting or administrative software is an advantage.
• Ability to handle confidential information with discretion and exercise good judgment in sensitive situations.
• Self-motivated and adaptable, with the ability to work independently while contributing to a team setting.
