Job Title: Receptionist

Job Summary

We are seeking a friendly, organized, and professional bilingual Receptionist to manage front office operations, provide consistent visitor and phone coverage, perform administrative and data entry tasks, and deliver exceptional customer service. This role requires strong bilingual communication skills (English/Spanish), independent task execution, proficiency with office technology, and a high standard of professionalism in a fast-paced office environment.

Key Responsibilities

  • Remain at the reception desk during assigned work hours, except for approved breaks.
  • Greet all visitors promptly, professionally, and consistently upon arrival, creating a positive first impression.
  • Manage visitor sign-in procedures and ensure security protocols are followed.
  • Answer incoming phone calls, direct them to the appropriate department or personnel, and handle general inquiries as needed.
  • Schedule and coordinate conference room appointments as needed.
  • Perform accurate data entry and maintain up-to-date records in databases and files.
  • Demonstrate proficiency in standard administrative and computer-based tasks, including calendar management, email communication, document organization and use of Microsoft Word and Excel, completing assigned work accurately, independently and on time.
  • Complete general office duties, including filing, scanning, photocopying, and managing office supplies accurately and on time.
  • Respond to customer inquiries in both English and Spanish to ensure clear and effective communication.
  • Provide clear, courteous assistance to visitors and callers, escalating only when necessary.
  • Maintain office, kitchen, and staff supply inventories.
  • Coordinate with other departments to support smooth workflow and efficient office operations.
  • Consistently follow established office procedures, retain instructions, and complete assigned tasks independently.

Qualifications

  • Minimum of 2 years of experience in a receptionist or administrative role.
  • Bilingual in English and Spanish (required).
  • Strong phone etiquette and professional demeanor.
  • Excellent organizational, multitasking, and time-management skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to work independently and collaboratively as part of a team.
  • Strong attention to detail and ability to handle confidential information with discretion.

Work Environment

  • Fast-paced, in-office setting with frequent interaction with visitors, staff, and customers.

  • Job Type: Full-time, in office
  • Hours: 8:00 AM – 4:30 PM

Compensation & Benefits
