Responsibilities
- Answer & direct phone calls; back up on the switchboard when needed
- Handle Accounts Payable processing weekly via software into Management review queue
- Write and distribute email, correspondence memos, letters, faxes and forms as directed by Management
- Assist in the preparation of regularly scheduled reports
- Develop and maintain a filing system; includes filing for the department and some Management staff
- Maintain contact lists
- Book travel arrangements
- Order meals/prepare for client meetings, sales visits, etc.
- Provide general support to visitors
- Act as point of contact for internal and external clients
- Assist with presentation preparation (copies, collation, typing, etc.)
- Other tasks as assigned by Management team
Requirements
- Proven experience as an Administrative Assistant or Office Admin Assistant
- Knowledge of office management systems and procedures
- Working knowledge of office equipment, like printers ad fax machines
- Proficiency in MS Office (Word, Excel, PowerPoint)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem solving skills
- Excellent written and communication skills including proper spelling, grammar
- Strong organizational skills with the ability to multi-task
- High School degree; additional qualification as Admin Assistant a plus
- Some additional hours may be required for client meetings, presentations, etc.
