Job DescriptionJob Summary:

The Mailroom and Copy Services Associate (Temporary) serves the entire organization to provide an array of services at the Philadelphia HQ. These include, but not limited to, mail and package shipping and receiving, organizational copier fleet and print services support, office supplies management, hospitality services oversight, administrating vendor invoicing, departmental cost chargeback accounting, and postage machine balance replenishment.

This is a temporary position anticipated to last approximately 12 weeks. Employment is at-will and may be ended at any time by either the employee or American Bible Society, with or without cause or notice.

Key Responsibilities:

  • Responsibility 1: Safely and securely receive and process incoming mail, including cash receipts and return mail.
  • Responsibility 2: Manage postal machines, postage accounts and common carrier invoicing.
  • Responsibility 3: Maintain vendor invoicing and monthly financial reports for mail and copy chargebacks.
  • Responsibility 4: Manage Shipping/Receiving and carrier services packages and invoicing.
  • Responsibility 5: Manage and maintain printer/organizational copier fleet.
  • Responsibility 6: Work with IT to assign and maintain employee UNIflow copier access.
  • Responsibility 7: Manage office supplies, including maintaining supply closet inventory.
  • Responsibility 8: Maintain beverage center inventories, including maintenance, product ordering and restocking.
  • Responsibility 10: Assist Facility Manager as required.

Qualifications:

  • Education: High School Diploma or equivalent.
  • Experience: Proficiency with Postage and Copier equipment, excellent in customer service.
  • Technical Skills: Office 365, Teams, Pitney Bowes postage machine, Pitney Bowes package reception system Canon UNIflow program.

Physical Demands/Work Environment

Work environment: In office Monday to Friday. Some transport while carrying packages, letters, and materials to US Post Office or around the office as required. Use of material handling equipment: pallet jacks, elevators, hydraulic docks, carts, etc.

Strength requirements:

  • Seldom: 26-50 pounds
  • Occasional: 11-25 pounds
  • Frequent: 1-10 pounds
  • Constant: Negligible weight

Periods of sitting, standing, walking, lifting, twisting, and bending while transporting and processing materials, packages, and supplies. Standing/walking/low posture position greater than 75% of the workday.

7:30 a.m. - 4:00 p.m.

Travel Required:

Local city area. Post office visits for certified mail, etc.
