FUNCTION:

The Administrative Assistant (AA) is responsible for providing support at the unit level, by maintaining organized records; coordinating information with nursing, nutrition, social, and billing services as well as hospital, laboratories, and regulatory agencies. The AA will assist and support the unit management team in achieving quality, patient satisfaction, staff development, business management, teamwork, culture, and employee satisfaction. Responsible for understanding, supporting and implementing the philosophy and policies of the corporation. Assist in the maintenance of a safe and clean working environment.

REPRESENTATIVE DUTIES:

1. Demonstrates applicable knowledge of policies and procedures related to Unit Secretary position.

2. Demonstrates ability to perform technical skills related to Administrative position.

3. Manages information utilizing appropriate manual or electronic systems.

4. Maintains and updates any necessary records and reports (including the Networks’ databases) needed for daily unit functioning and HCFA requirements in a neat and orderly fashion.

5. Accurately prepares, verifies, and maintains daily patient data entry.

6. Maintains confidentiality and completes documentation as required.

7. Answers telephones appropriately, accurately takes messages, and promptly communicates messages to appropriate person.

8. Types up all required forms and any other form of written communication.

9. Assists management team by typing, editing and distributing memos and reports as directed.

10. Opens, sorts and delivers mail appropriately.

11. Makes photo-copies appropriately.

12. Enters all billable services/medications into CTS- Computer.

13. Communicates appropriately with unit personnel, patients, and family.

14. Assumes responsibility for medical records by keeping patient’s paper charts up to date.

15. Establishes and maintains a filing system for the unit.

16. Prepares requisitions for lab tests and other procedures, as requested, informs and distributes the results to Unit Supervisor/Dietitians of results.

17. Prepares blood work tubes/labels and makes arrangements for lab pickup.

18. Assists in ordering all unit supplies and maintains written and computer inventory

MINIMUM QUALIFICATIONS

1. High school diploma or equivalent.

2. Secretarial experience, preferably in a medical environment (certificate from Medical Assistant Program)

3. Knowledge of computer spreadsheets, word processing, and windows.

4. Organizational skills.

5. Excellent verbal and written communication skills.

6. Valid driver’s license and insurance, when indicated/applicable for business travel by automobile.
