Location: Hybrid (3 days onsite, 2 days remote)
Compensation: Up to $85,000 base
About the Opportunity
Our client is seeking a detail-oriented Program Coordinator - Conference Operations to support multiple conferences and special interest groups. This is a fast-paced, operational role focused on contracts, budgets, and administrative oversight - not traditional event planning logistics.
The ideal candidate is organized, analytical, and comfortable managing multiple conferences at different stages simultaneously.
Key Responsibilities
• Support 6-8 designated program groups and their conference activities
• Manage contracts, vendor negotiations, and budget tracking
• Review and reconcile conference financials, including post-event closeouts
• Oversee RFP processes and assist with vendor selection
• Ensure decisions align with approved budgets and organizational policies
• Communicate with volunteer leaders, vendors, and internal stakeholders
• Maintain accurate documentation and financial records
• Support 30-35 conferences annually in a high-volume environment
Qualifications
• 3+ years of experience in program coordination, conference operations, or similar administrative roles
• Strong budget tracking and financial reconciliation experience (P&L familiarity preferred)
• Contract negotiation or vendor management experience
• Strong written communication skills
• Proficiency in Excel (basic formulas required)
• Ability to manage multiple projects simultaneously in a fast-paced setting
