Position Description: Our Sacramento office is currently seeking an on-site Office Assistant with a variety of duties to support the growing needs of the Sacramento office and the administrative team. This is an excellent opportunity to gain administrative work experience in a professional services environment

Ideal Candidate: This role is our front desk company representative. We are looking for an enthusiastic, detail-minded “self-starter” with a creative and collaborative work style.

Compensation and Benefits: The pay rate for this position ranges between $37,000 and $40,000 annually. This range is a good faith estimate provided pursuant to pay transparency laws. Actual pay rates will be based on various factors, including location, company geographic differentials, education level, and candidate qualifications.

Job Summary: This in-person position supports the Sacramento office by handling front desk, administrative, and operational responsibilities. Working closely with engineers and the administrative team, the role provides valuable exposure to a professional services environment. Ideal for someone who enjoys variety, teamwork, and being a go-to resource in the office.

Responsibilities:

  • Greet visitors, answer phone calls, and take daily headcount.
  • Handle incoming and outgoing mail and packages and office errands.
  • Data entry, tracking and updating of project records to facilitate easy retrieval.
  • Copy, scan, and bind documents, drawings, and reports, including moving large drawings (20-40 pounds).
  • Order and stock office/lunchroom supplies.
  • Manage site visit equipment check-in/out.
  • Schedule meetings/lunches and coordinate lunch orders.
  • Set up and clean up meetings and special events.
  • Perform kitchen and hydration station duties, including the loading/unloading of the dishwasher, fridge clean-up/organization, and keeping the kitchen clean and tidy.
  • Support onboarding of new employees and hoteling spaces with various set-up tasks.
  • Assist Engineering, Library Records, and the Administrative team on special projects as requested.

Qualifications:

  • Computer proficiency and experience with Microsoft Office Suite and PDF software
  • Professional interpersonal and communication skills (verbal and written)
  • Good organization, time management, and follow-up skills
  • Dependable, takes initiative, and willing to learn
  • Detail-oriented
  • Ability to follow instructions and handle multiple tasks with minimal supervision
