Job DescriptionJob Summary/Company: Sparks Group has partnered with a well-established municipal organization to identify a detail-oriented and highly organized Administrative Specialist to support multiple departments within a fast-paced public sector environment. This role is ideal for a professional with strong administrative, customer service, and organizational skills who thrives in a collaborative office setting and can effectively manage a variety of responsibilities
Responsibilities:
- Provide administrative and clerical support to assigned departments and leadership teams
- Manage calendars, schedule meetings, coordinate appointments, and support departmental operations
- Answer and direct incoming calls, emails, and visitors while providing exceptional customer service
- Prepare, edit, proofread, and distribute correspondence, reports, agendas, meeting minutes, spreadsheets, and other documentation
- Maintain confidential records, digital filing systems, and departmental documentation in compliance with records retention guidelines
- Support accounts payable processes including invoice review, coding, reconciliation, and submission for payment
- Assist with payroll and timesheet processing, ensuring accuracy and completeness
- Coordinate meeting logistics including room reservations, supplies, equipment setup, and meeting materials
- Monitor and order office supplies while maintaining inventory records
- Process purchase orders, check requests, and other purchasing documentation
- Conduct research using internal databases, department records, and online resources
- Assist with records management, scanning, shredding, and document organization
Qualifications/Background Profile:
- High School Diploma or GED required
- Minimum of 3 years of experience in administrative support, office administration, bookkeeping, records management, customer service, or related office environments
- Experience supporting Human Resources and Accounts Payable functions preferred
- Strong organizational skills with the ability to manage multiple priorities and deadlines
- Proficiency with Microsoft Office Suite and ability to quickly learn new software systems
- Experience with digital filing systems and data entry
- Strong written and verbal communication skills
- Ability to maintain confidentiality and handle sensitive information professionally
- Excellent attention to detail and problem-solving skills
