Ecosouth Services is seeking an experienced Scheduler/Billing Coordinator for our Palmetto, FL location. This role is responsible for scheduling work in coordination with builders and field supervisors, ensuring efficient and accurate job planning.
The Scheduler/Billing Coordinator will also handle billing processes once work is completed, including invoicing customers and maintaining customer accounts. Responsibilities include monitoring account aging and ensuring timely and accurate account management.
Compensation:
$23 - $25 hourly
Responsibilities:
- Verifies accuracy of billing data, correcting any errors.
- Creates itemized statements, bills, invoices, and other necessary billing documents, which may require calculation of credit terms, fuel charges, discounts, and costs of services.
- Records amounts due for services rendered.
- Performs general bookkeeping work, which may include entering data and maintaining records, invoices, and supporting documents of amounts due for services rendered.
- Generates billing documents, which requires the ability to accurately read, analyze, and self-review all documents prior to distribution.
- Contacts customers to obtain, verify, and update account information when necessary.
- Provides basic support to the finance team by performing tasks, including but not limited to: preparing specialized reports for meetings and as requested by upper management, or other support as needed.
- Utilizes the company’s time and billing business software system efficiently.
- Performs other related duties, as assigned.
- Interacts with a variety of customers to ensure scheduling accuracy and job production needs are met.
- Functions across numerous websites and software to complete communication and scheduling with customers.
- Partner with field supervisors and management to communicate scheduling needs in a real-time environment.
Required Skills & Abilities:
- Basic understanding of clerical and administrative procedures.
- Excellent written and verbal communication skills.
- Exceptional organizational and time management skills.
- Ability to solve problems as they arise.
- Proficient in MS Office, particularly Excel.
Qualifications:
Education & Experience:
- High school diploma or equivalent required.
- One or more years of proven experience in end-to-end billing preferred.
- Hands-on experience with accounting software systems and invoicing systems.
Physical Requirements:
Includes: Lifting, Carrying, Sitting, Standing, Walking, Speaking, Hearing, Vision, and Manual Dexterity.
- Vision: Adequate to enter and read material on computer screens. Able to identify individuals to initiate greetings, give directions, and engage in other business interactions.
- Speaking: Able to engage in conversations in person and via electronic means and deliver information to groups of varying size with or without amplification.
- Carrying: Able to occasionally carry up to 20lbs/9kg.
- Lifting: Able to lift up to 30lbs/14kg.
- Squatting/Kneeling: Able to squat or kneel.
