Job Title: Receptionist

Location: Worcester, MA 01604

Duration: Temp - 6 months

Pay Range: $18.89/hr (W2)

Shift Timings: Monday through Friday, 8:45 a.m. to 5:00 p.m., with a 45-minute lunch break.

Job Description

We are seeking a Receptionist to join our team. The ideal candidate will have strong experience in front desk operations, records management, and customer service and a proven ability to manage high call volumes, maintain accurate files, and support office workflows.

Responsibilities:

  • Greet and assist office visitors in accordance with established procedures.
  • Answer and route telephone calls, provide routine information on agency services, and redirect as needed.
  • Process incoming mail and packages, including opening, date stamping, investigating, assigning, and distributing.
  • Prepare and mail outgoing correspondence and parcels.
  • Create, review, and process correspondence, forms, files, and reports for storage or forwarding using Word and Excel.
  • File materials per a prescribed classification system and retrieve records from files or boxes.
  • Scan documents into the Captiva system and index by envelope category, document category, and type.
  • Search and recover information from computer systems to respond to inquiries or requests.
  • Post information to logs, spreadsheets, records, or systems per procedures and maintain daily activity logs.
  • Operate and provide basic instruction on standard office equipment, including copiers, postage machines, fax machines, PCs, printers, mail openers, telephones, and TTY equipment.
  • Review forms, applications, and correspondence for accuracy and completeness.
  • Provide meeting, schedule, appointment, and cancellation information orally or in writing.
  • Prepare and submit supply requisitions and maintain supply inventory.
  • Compile data for office and agency reports and support email communications.
  • Operate specialized office equipment after required manufacturer training.
  • Create letters, emails, spreadsheets, charts, lists, and memoranda using computer applications.
  • Support development of production schedules, performance standards, quality controls, and procedures for clerical operations.
  • Coordinate team coverage for leave, breaks, lunches, and duty hours to ensure service levels.
  • Work collaboratively with team members and perform other related duties as required.

Required Skills & Qualifications:

  • Proficiency with Microsoft Word and Excel; ability to create and update documents, spreadsheets, and logs.
  • Knowledge of clerical practices, records management, correspondence control, and office equipment usage.
  • Strong attention to detail with names, numbers, codes, and symbols; accurate filing per standard procedures.
  • Effective oral communication and customer service skills in a front-facing, fast-paced environment.
  • Ability to follow written and oral instructions and maintain accurate records and logs.
  • Ability to exercise sound judgment and deal tactfully with others while maintaining harmonious working relationships.
  • Capability to operate standard and specialized office equipment; ability to lift at least 35 pounds.
  • Experience level: 3+ years of full-time office work or an equivalent combination per substitutions below.

Preferred Skills:

  • Bilingual ability in Spanish or Haitian Creole.
  • Familiarity with Captiva or similar document capture and indexing systems.
