Summary
The Payroll Specialist is responsible for managing accurate, compliant, end-to-end payroll operations while supporting benefits, reporting, and process improvements
Responsibilities
- Process biweekly, multi-state payroll for approximately 400 employees using ADP Workforce Now
- Calculate wages, taxes, benefits, bonuses, overtime, and other earnings in compliance with employment agreements and regulations
- Ensure accuracy and compliance with payroll laws including FLSA, FICA, and federal, state, and local tax requirements
- Partner with HR on new hires, terminations, employee changes, and payroll-related inquiries
- Administer 401(k) contributions and loan repayments including uploads, reconciliations, and funding
- Prepare wage data for workers’ compensation, unemployment claims, disability, and leave programs
- Support leave administration by providing payroll calculations and required documentation
- Reconcile payroll-related general ledger accounts and assist with month-end and year-end close
- Prepare and support payroll tax filings and year-end reporting including W-2s and ACA forms
- Coordinate benefit-related filings such as Form 5500 with third-party administrators
- Collaborate with Finance, HR, IT, and vendors to support payroll and ERP system integrations
- Identify opportunities to streamline processes, improve controls, and enhance reporting accuracy
- Maintain confidentiality of all payroll and employee data
Qualifications and Skills
- Associate degree in accounting, finance, bookkeeping, or a related field or equivalent experience
- 3–5 years of payroll processing experience in a multi-state environment
- 2–3 years of benefits administration experience
- Experience with ADP Workforce Now
- Strong knowledge of payroll tax regulations and compliance requirements
- Advanced Excel skills and experience with accounting or ERP systems
