Job Title: Office Manager (Construction Knowledge Preferred)
Location: On-site (Hybrid option available after training)
Schedule: Full-Time | Mon–Thurs 8:00am–4:00pm | Fri 8:00am–2:00pm
About the Role
We are seeking a highly organized, proactive, and adaptable Office Manager to join our fast-paced team. This position is ideal for someone with a strong administrative background, excellent communication skills, and preferably some experience in the construction industry.
You will be responsible for managing client accounts from inquiry to final invoice, supporting both office and field teams, and ensuring smooth day-to-day operations. Our clients have high expectations, and we need someone who thrives under pressure, can juggle multiple priorities, and takes pride in delivering exceptional service.
Key Responsibilities
- Manage service client accounts from initial inquiry to final invoice closeout
- Handle a high volume of incoming calls with professionalism and efficiency
- Perform Accounts Receivable duties including invoicing, follow-ups, and reporting
- Support project management tasks and coordinate with field operations
- Assist office staff with administrative and operational tasks
- Respond to customer inquiries with excellent communication and follow-through
- Solve problems quickly and independently while maintaining attention to detail
- Maintain organized records and ensure data accuracy
- Adapt to busy and high-stress periods with a calm, solutions-focused approach
Qualifications
- Preferred: Knowledge or experience in the construction industry
- Strong customer service and communication skills (written and verbal)
- Proven ability to multi-task and stay organized in a fast-paced environment
- Accounts receivable or basic accounting experience
- Detail-oriented with strong problem-solving abilities
- Fast learner with the ability to adapt to evolving processes
- Experience in project coordination or supporting field operations is a plus
- Basic technical skills preferred (CRM, Canva, social media)
