POSITION SUMMARY
Reports to: Director of Convention Sales/Convention Sales Management
Would you be described as meticulous and proactive? As our Convention Sales Assistant, you'll directly support our Sales Managers in promoting Capital area hotels and growing DC's vibrant tourism. This role requires exceptional administrative support across various markets, ensuring smooth operations from lead generation to site inspection coordination.
If you're organized, detail-oriented, and possess excellent communication skills, as well as a talent for managing multiple tasks efficiently, we want to hear from you. Experience with a customer relationship management system (CRM) and a passion for DC are a plus!
Your day in the life as our Convention Sales Assistant:
- Respond to daily client inquiries on behalf of assigned sales team members.
- Generate and distribute daily sales leads, revisions, and confirmations by gathering necessary information.
- Execute daily administrative tasks including preparing bids, scheduling memos, processing mail, managing office supplies, and filing.
- Coordinate client site visits, which involve securing accommodations, arranging transportation, scheduling appointments, creating detailed itineraries and site booklets, and ordering client gifts.
Your Essential Duties and Responsibilities (include the following, but are not limited to)
- Prepare correspondence; administer sales leads (assign booking numbers on sales system, type, copy and distribute as appropriate and directed.)
- Prepare special reports, forms, data entry and management for sales managers. .
- Manage all lead portal systems such as Cvent, extranet, direct inquires.
- Answer telephones and direct incoming inquiries as appropriate. Assist customers (planners and member hotel customers) as directed.
- Submit event requests on behalf of Sales Managers for upcoming client events, tradeshows, and conferences, ensuring all necessary details and approvals are accurately documented.
- Provide file maintenance and upkeep of account management system of the Convention Sales department.
- Provide relief support for the front desk and assist with telephone coverage for other departments as appropriate.
- Assist Convention Sales department as directed on special projects (trade show, special event activities, site visits etc.)
- Other duties and special projects as assigned.
What You Bring: Knowledge, Competencies & Skills
- Minimum of 1 (one) year of administrative work experience, showing effective training in team support, project management, creating power point presentations and general administrative functions.
- Proficient Microsoft Office skills, including Word, PowerPoint, Excel, database management programs and ability to learn new software programs as directed.
- Bachelor's Degree (B.S./B.A.) preferred but not required.
- Prior experience coordinating events a plus.
- Prior experience in the hospitality, convention bureau or sales industry a plus.
- Excellent communication skills, strong initiative, and work ethic.
- Superior organizational skills, attention to detail and ability to work well in a team environment.
