Job DescriptionExecutive AssistantOur client, a small professional services company in Philadelphia, is seeking an Executive Assistant to join their tight-knit team and support one of their Partners. This Executive Assistant will serve as a liaison to managing members and senior management teams; organizes and coordinates executive outreach and external relations efforts and oversees special projects.
The ideal individual will have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.Responsibilities

  • Manage sensitive matters with a high level of confidentiality and discretion, especially decisions directly impacting the operations of the company
  • Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of objectives for the three leaders
  • Managing calendar(s) including scheduling internal and external appointments, confirming meetings, coordinating with other assistants
  • Preparing responses to communications directed to professionals on significant and non-routine matters and having the authority to determine what correspondence to handle themselves
  • Coordinating travel arrangements including flights, visas/passports, cars, hotels, and other reservations
  • Coordinating on-going group meetings
  • Executing contracts on behalf of the professional
  • Draft and prepare correspondence for internal announcements, board meetings, and organizations that the executive is involved with
  • Completion of detailed corporate expenses including tracking receipts and reimbursements
  • Maintaining and organizing files
  • CRM entries for professionals
  • Conserve the Executive's time by reading, researching, collecting and analyzing information as needed, in advance.

Qualifications

  • 2-5+ years of administrative assistant experience supporting senior professionals
  • Ability to utilize discretion and independent judgment
  • Thrives in a fast-paced environment and able to deal with ambiguity and constant change
  • Strong communication skills
  • Highly organized with strong attention to detail
  • Ability to multi-task and prioritize competing tasks and deadlines
  • Perform duties with the highest level of confidentiality and integrity
  • Experience with coordinating travel arrangements
  • An autonomous worker with strong follow-through skills
  • Ability to build relationships with key players and management
  • Creative thinker
  • Extensive familiarity with Microsoft suite
