Job DescriptionDescription:

Non-Exempt. Provides administrative support for the project management personnel. In addition to typing, filing, scheduling, responsible for coordination of meetings, obtaining supplies, coordinating direct mailings, and working on special projects. Answers non-routine correspondence and assembles highly confidential and sensitive information. Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize, and organize diversified workload. Arrange travel through Internet and outside agents.


Duties

· Assist with the coordination of various office support services, including purchasing office supplies, and photocopier maintenance.

· Assist with the coordination of direct mailings and handle messages (with voice mail, regular postal mail, and express mail (Federal Express).

· Complete expense reports after trip.

· Work independently and within a team on special nonrecurring and ongoing projects. Plan and coordinate multiple presentations, disseminate information, and organize operations events.

· Type and design general correspondence, memos, charts, tables, graphs, business plans, etc. Proofread copy for spelling, grammar, and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.

· Maintain computer files, directories, and databases.

· Assist in the production of management plans, technical documents and presentation graphics.

· Organize and maintain project library, files and field project binders.

· Edit technical documentation including plans, technical documents, presentation graphics or other customer deliverables and documents.

· Perform such other duties and responsibilities as may be assigned.

Requirements:

· High school diploma, technical school or college degree.

· College coursework in business management, office systems technology, or a related field preferred.

· Minimum of five years’ experience in office administration.

· Must have knowledge of secretarial, office administrative procedures, and knowledge of use and operation of standard office equipment, at a level generally acquired through 4 or more years related experience.

· Must have knowledge of a variety of computer software applications in word processing, spreadsheets, graphs, database and presentation software.


While performing the duties of this job, the employee is exposed to normal office conditions. The noise level in the work environment is usually moderate.
