Key Responsibilities
1. Employment-Based Visa & Compliance Management (Priority Focus)
- Manage and support employment-based visa processes, including OPT, CPT, H-1B, and Green Card applications, in coordination with legal counsel and external vendors.
- Track visa status, expiration timelines, and ensure timely filings and compliance with U.S. immigration regulations.
- Serve as the internal point of contact for foreign national employees regarding visa-related inquiries and documentation.
- Maintain accurate records and ensure audit readiness for immigration compliance.
2. Warehouse Workforce Administration (T&A & Invoice Management)
- Oversee time and attendance (T&A) processes for warehouse and temporary workforce, ensuring accuracy, timeliness, and compliance.
- Manage and validate staffing agency invoices, including reconciliation with attendance records, contract terms, and billing rates.
- Collaborate with operations teams to implement and optimize T&A systems or tracking tools (e.g., badge systems, attendance logs).
- Establish and continuously improve standard operating procedures (SOPs) for attendance tracking, payroll inputs, and invoice processing.
- Identify discrepancies, control labor costs, and ensure compliance with labor regulations and internal policies.
3. U.S. Recruitment Management (Nationwide)
- Manage full-cycle recruitment for exempt and professional roles across the U.S.
- Partner with hiring managers on role definition, sourcing strategies, and offer management.
- Track recruitment metrics and optimize hiring efficiency and cost.
4. HR Data Analytics & Dashboard Development
- Design, build, and maintain HR dashboards to track key metrics (e.g., headcount, turnover, hiring pipeline, T&A, labor costs).
- Analyze HR and workforce data to identify trends, risks, and improvement opportunities.
- Partner with leadership to provide data-driven insights for decision-making.
- Ensure data accuracy, consistency, and reporting standardization across systems (e.g., HRIS, T&A tools, vendor reports).
5. Cross-Regional HR Coordination (China & Malaysia)
- Coordinate HR matters across regions, including contract management and policy alignment.
- Liaise with local HR teams and vendors to ensure compliance and operational consistency.
6. Process Improvement & HR Operations Optimization
- Support leadership in mapping and improving HR workflows.
- Identify inefficiencies and implement process improvements, especially in visa tracking, T&A systems, and invoicing workflows.
Qualifications
- Experience:

- Hands-on experience with U.S. employment-based visas (OPT, CPT, H-1B, etc.) is strongly required
- Experience supporting warehouse operations, including T&A tracking and invoice reconciliation, is highly preferred
- Skills:
-
- Strong data accuracy and analytical skills (especially in T&A and billing validation,and HR data analysis)
- Proven experience building HR dashboards and performing data analysis (e.g., Excel, BI tools such as Power BI/Tableau preferred)
- Experience implementing or improving operational processes (SOPs, systems, tools)
- Excellent communication and cross-functional coordination skills
