Our History:
TBMHC was created by founder Desmond Yanamayu with black people in mind, after realizing this diverse population experiences challenges and struggles that are unique from many other racial/ethnic groups. Because of this, he wanted to create a space where black people could feel comfortable getting counseling with someone who understood their issues. Even still, The Black Mental Health Corporations services are open to people of all ethnicities and racial backgrounds.

Position Summary
As the first face clients see and the last voice they hear, you play a critical role in making people feel safe, heard, and supported. The Client Services Coordinator is a warm, organized, and proactive professional who ensures that every client interaction at the front desk, on the phone, or via email is handled with care and competence.
The Client Services Coordinator manages the reception area, schedules client appointments, verifies insurance, collects co-pays, and ensures accurate record-keeping. This role blends hospitality with healthcare operations, requiring a personable presence, attention to detail, and a strong understanding of mental health office procedures.
Youll report to, assist the Practice Manager, and work side-by-side with the Administrative Operations Coordinator, to support TBMHCs clinical and business functions.
Key Responsibilities
Client Interaction & Reception
- Greet clients and visitors with professionalism and warmth.
- Maintain a clean, welcoming, and organized reception area, stocked with snacks, candy, and calming ambiance items.
- Provide client satisfaction at all times.
Scheduling & Communication
- Schedule, reschedule, and cancel appointments using Athena EHR and follow up with reminders.
- Monitor the front desk email and phone lines; relay messages to clinicians.
- Assist clients with portal access, login issues, and password resets.
Registration & Intake
- Register new clients: collect insurance details, IDs, demographic info, signed consents.
- Update records with changes in address, insurance, or contact info.
- Walk clients through digital forms and use of the online portal.
Insurance Verification & Billing Support
- Verify client eligibility using Athena and external payer portals.
- Collect co-pays via portal, card, or cash, and issue receipts.
- Assist in pre-authorizations when needed and explain benefits to clients.
- Follow up on overdue balances and answer billing-related questions.
Administrative Office Duties
- Sort, distribute, and manage mail and deliveries.
- Complete daily open/close duties: lighting, trash, office reset
- Handle phone calls, faxes, scanning, filing, and basic data entry.
- Maintain confidentiality when handling medical records and documentation.
- Ensure HIPAA compliance in all areas of communication and recordkeeping.
Youll coordinate daily with our Administrative Operations Coordinator to:
- Ensure accurate insurance entries and file transitions.
- Support hiring-related documentation and client intake alignment.
- Provide consistent messaging and scheduling support for providers.
- Work together on shared tasks like inventory, safety checks, and front office organization.
Qualifications
- 2+ years of experience in a medical office, front-desk, or behavioral health setting strongly preferred.
- High school diploma or equivalent required; associates or bachelors degree a plus.
- Knowledge of mental health terminology and common office procedures.
- Strong computer literacy: Apple/IOS computers Athena EHR platform, Google Suite, Microsoft Office, and
- Proven ability to handle sensitive and confidential client information appropriately.
- Excellent customer service, phone etiquette, and verbal communication skills.
- Ability to multitask with poise in a high-paced environment.
