Job Summary
For over 17 years, FirstLight Home Care has helped seniors age with comfort, dignity, and independence. As we expand into Lower Bucks County, we are seeking a dynamic and compassionate Care Coordinator and Operations Manager/Sr. Manager to lead our Levittown office.

This is a hands-on leadership role for someone with deep home care experience—ideally someone who has worked as a caregiver, understands client and staff needs, and is ready to combine operational management with genuine compassion.

About the Role
You will be responsible for building and managing the caregiver team and ensuring clients receive high-quality care. As the business grows, this role offers strong opportunities for career advancement.

Responsibilities:

  • Caregiver Hiring (End-to-End): Post job ads, screen applicants, conduct interviews, complete onboarding and compliance requirements, and onboard caregivers into scheduling (WellSky) and payroll systems. Support from management for hiring will be available.
  • Training and Development: Train caregivers on all Activities of Daily Living (ADLs) — including safe client transfers, personal care, mobility support, and companionship. Conduct skill testing of candidates for competency.
  • Scheduling & Operations: Manage caregiver scheduling hands-on using WellSky or any other app. Ensure accurate clock-ins, post-shift reporting, and seamless coverage across all active client cases.
  • Care design, coordination and Client Relations: Perform in Home assessment of clients, develop individualized care plans, identify risks and gaps. Resolve client/employee concerns. Support with intake calls and convert into at home visits (as needed).
  • Caregiver Relations & HR: Manage caregiver performance, address conflicts, support staff wellbeing and motivation, and foster a culture of accountability and care.
  • Payroll Processing: Oversee payroll, track hours and visit data accurately, and resolve any discrepancies promptly.
  • Compliance & Safety: Maintain all PA state compliance documentation required for home care operations. Ensure adherence to OSHA standards, workplace safety protocols, and workers' compensation requirements. Keep personnel and compliance records current and audit-ready at all times.

Required Qualifications

Experience:

  • Minimum of 5 years in Home Care and Personal Care (required).
  • CNA or HHA certification (required).
  • Must have direct experience in care cordination and/or caregiver management experience with other Home care agencies (required)
  • Must have prior hands-on experience as a caregiver — understanding ADLs from the ground up is essential
  • Hands on working experience with caregiver scheduler (required). Wellsky experience preferred. Other HHA software considered.

Work location, Timings and availability: FirstLight Home care of Levittown is always open to service clients. As the captain of the caregiver team, the candidate must be accessible to clients and caregivers during off hours and weekends.

  • This is an in-person role supporting clients in Lower Bucks County and Northeast Philadelphia; travel to client homes is required
  • Availability for weekends, overnights, and off-hours as needed for shift coverage, caregiver introductions, and emergencies
  • On-site office presence Monday–Friday, 9:00 AM–5:00 PM
  • Flexibility available (e.g., adjusted weekday hours if weekend work is required)
  • Must be accessible via phone, email, or in person outside standard hours
  • Willingness to support after-hours scheduling and caregiver intake is essential

Education: High School Diploma or equivalent is required.

Technical Proficiency:

  • Basic proficiency with Microsoft Word.
  • Operational knowledge for data input, tracking and reporting in Microsoft Excel.
  • Familiarity with WellSky or any other scheduling software is required.

Leadership skills

  • Experience managing caregivers (required)
  • Ability to lead and motivate a dynamic team.
  • Strong leadership, interpersonal skills, and a "problem-solver" mindset.
  • A deep sense of kindness and a drive to support the community of both caregivers and clients.
  • Conflict resolution skills of sitting across the table to resolve differences is required
  • Ability to handle high levels of uncertainty is required. This is a startup environment.
