Position Summary

We are seeking a reliable, motivated, and customer-focused Leasing & Administrative Assistant to join our property management team. While this role is primarily a leasing position, the Leasing & Administrative Assistant plays a key role in supporting the overall success of our property management operations.

This role combines fieldwork – such as property showings, inspections, and tenant interactions – with critical in-office responsibilities including administrative support, scheduling, and cross-department collaboration. The ideal candidate is proactive, detail-oriented, and thrives in a dynamic environment where priorities can shift daily. You’ll be responsible for managing your own daily schedule, communicating effectively with prospective tenants, and maintaining accurate and timely documentation. In addition to leasing-related tasks, you’ll assist the Director of Operations and support multiple departments – making adaptability, initiative, and teamwork essential.

This position is well-suited for someone who enjoys variety in their day-to-day work, has a strong sense of ownership over their responsibilities, and values being part of an open, collaborative office team.

Key Responsibilities

Leasing Duties

  • Respond promptly to leasing inquiries and schedule property showings
  • Conduct scheduled property showings across Portland and surrounding areas including Pearl District, Portland Heights, Forest Heights, Tigard, Lake Oswego, Beaverton, Wilsonville, Hillsboro, Tualatin, and Sherwood.
  • Perform routine property walkthrough inspections
  • Complete detailed move-in and move-out inspections
  • Submit timely and accurate reports and documentation
  • Draft and send lease agreements and lease renewals

Administrative/Operations Support

  • Answer and route incoming phone calls in a professional manner
  • Upload payables and assist with documentation for various departments
  • Assist the Director of Operations with daily administrative duties and office tasks as needed.
  • Support office staff with leasing and property management processes as needed
  • Maintain accurate records and documentation within internal systems
  • Cross-trained across departments to provide backup support during peak seasonal periods

Requirements

  • Previous leasing, customer service, or administrative experience preferred, but willing to train the right candidate.
  • Excellent organizational and time-management skills; must be able to self-manage schedule fully between out of office appointments and in-office requirements.
  • Strong written and verbal communication skills
  • Positive attitude, proactive mindset, and willingness to jump in where needed
  • Ability to build strong working relationships in a small office team environment
  • Must be adaptable, dependable, and ready to assist wherever needed
  • Reliable personal transportation and valid driver’s license required

Schedule & Work Environment

  • Full-time schedule, weekday hours. No weekends!
  • Role includes both in-office and field responsibilities
