The Town of Sullivan is presently seeking anAdministrative Assistant in our Codes Department to join our Chittenango, NY based team. This position provides administrative and clerical support to the Town’s Code Enforcement Office. The position serves as a primary point of contact for residents, contractors, and the public, answering questions, providing forms and information, and directing inquiries to the appropriate staff. The role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks in a professional and customer service–oriented manner.
Responsibilities:
- · Answer phone, check messages and emails.
- · Help customers at the counter, answer questions regarding permits/codes/parcels/complaints and any other business.
- · Process all permits, letters of complaint violation, Certificates of Compliance and Occupancy.
- · Keep records of all permit inspections, payments of permits, complaints/violations, contractor information, lawn mowing vacant properties by the Town and any other applicable information in files and on the computer.
- · Manage calendar for the Codes Enforcement Officer
- · Complete agendas for Zoning and Planning Boards. Prepare room for meetings, take minutes, post minutes to website.
Qualifications:
- · High school diploma or GED required, associate’s degree in office administration, Business, or related field preferred.
- · 1–2 years of clerical, administrative, or customer service experience; prior municipal government or codes/permit office experience preferred but not required.
- · Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and ability to quickly learn town permitting and records management systems.
- · Strong organizational and recordkeeping skills, with accuracy in data entry and filing.
- · Effective verbal and written communication skills to interact with residents, contractors, and town staff.
- · Demonstrated ability to handle multiple tasks, prioritize work, and meet deadlines in a small-office environment.
- · Ability to maintain confidentiality and work in compliance with town policies and state/local regulations.
- · Must be available to attend two 7pm board meetings per month (1st Tuesday and 3rd Thursday)
