Position Available: Human Resources Associate
Salary: $35,444.40/$18.18 to $61,143.36/$31.36

Under the general direction of the Human Resources Director or designee, provides comprehensive, effective, and efficient administrative support to the Division.
This is an at-will, non-represented position.

JOB DESCRIPTION
JOB TITLE: Human Resources Associate
An At-Will, Non-Represented Position
REPORTS TO: Human Resources Deputy Director or designee
GENERAL SUMMARY:
Under the general direction of the Human Resources Deputy Director or designee, provides comprehensive, effective, efficient, timely, and well organized basic administrative support to the Human Resources Department.
PRIMARY DUTIES & RESPONSIBILITIES:
1. Verifies the accuracy of employee benefit enrollments against employee bi-weekly paycheck deductions. Maintains employee benefit enrollment corrections including, but not limited to, the removal/termination of employee benefit enrollments for exiting employees.
2. Reconciles monthly billing statements, including, but not limited to, Dental, Medical, Vision, Voluntary Elections, etc. and addresses discrepancies in a timely manner.
3. Answers, responds, screens, and/or takes messages for all types of communications/inquiries in a courteous, efficient, professional, and timely manner or routes same to the appropriate personnel or department.
4. Responsible for maintaining all facets of the Human Resources Department filing room in a timely manner.
5. Maintains electronic and hard copies of current and former employee personnel files by hand filing, scanning documents, including the storage of same.
6. Opens, identifies, sorts and delivers incoming different types of Human Resources Department mail, such as bills, legal documents, letters, etc. Maintains confidentiality of sensitive mail.
7. Generates and/or terminates 36th District Court Identification Badges for contractors, employees, prosecutors, and any other person(s) to ensure appropriate Court access is granted.
8. Provides support to the Human Resources Payroll Specialists by monitoring the employee and BASIC FMLA call-in-line and sending notices to Divisions/Departments of employee absences and/or tardies.
9. Assists with the Employee of the Month, Employee of the Year program with multiple duties performed with little or no supervision.
10. Assists with testing including coordinating rooms and equipment.
11. Generates reports.
12. Maintains strict confidentiality of employee data, including not but limited to discussions about individual employees, employment actions, Human Resources departmental issues, refrains from engaging in non-work-related conversations about employees based on information in employee personnel files, refrains from disclosing confidential information outside the Human Resources Department.
13. Assists in maintaining employee handbooks, policies, and procedural manuals.
14. Performs other duties as assigned.
LICENSES, CERTIFICATIONS OR SPECIAL REQUIREMENTS:
1. Obtains and maintains all requirements and certifications necessary to perform the functions of Human Resources Associate.
JOB QUALIFICATIONS:
1. The job requires an associate degree, with coursework in Human Resources preferred. A bachelor’s degree is preferred.
2. Three (3) years of clerical and basic administrative support experience, preferably in the public sector.
3. Two (2) years of benefit administration experience required.
4. Exceptional organizational skills and the ability to balance the needs of multiple priorities with minimal supervision.
5. Excellent time management skills and attention to detail.
6. Interpersonal and communication skills necessary to effectively, competently, and professionally communicate, both orally and in writing, with Court personnel, judges, justice system partners, and members of the public.
7. Proficiency in Microsoft Office Suite, with a strong working knowledge of Excel and Word.
8. Ability to frequently handle pressures related to meeting deadlines, simultaneous handling of multiple projects, fulfilling scheduling requirements and working on projects requiring concentration and attention to detail with periodic disruptions, delays and unexpected events.
WORKING CONDITIONS:
1. Normal office environment with some discomfort due to heat, dust, noise, and the like.
2. Ability to occasionally work an extended workday beyond 7.5 hours. Evenings, weekends, holidays, and afternoon shifts when required.
PHYSICAL CHARACTERISTICS:
1. Strength, dexterity, coordination, and vision to use a keyboard and video display terminal on a daily basis. Hearing to communicate with the public and court staff. Dexterity and coordination to handle files and single pieces of paper. Occasional lifting of objects weighing up to fifteen (15) pounds such as files, stacks of paper, reference, and other materials. Moving from place to place within an office. Some reaching for items above and below desk level.
2. Ability to occasionally sit, walk or stand of long periods of time, perform repetitive movements and work in confined areas.
