As a CMT Laboratory Administrative Assistant, you will support the efficient operation of our construction materials testing lab by handling paperwork, documentation, sample tracking, data entry, and coordination between field crews, lab technicians, and project managers. Ideal for someone who is detail-oriented, organized, and comfortable working in a fast-paced, testing-driven environment.

Specific duties include but are not limited to:

Receive and log in incoming samples from field technicians (soil, aggregate, concrete, asphalt) and ensure all paperwork (chain of custody, job numbers, project IDs) is completed accurately.

Track sample location, storage, and status in the lab information system / spreadsheet.

Maintain test request logs, sample files, and documentation following lab standards and project specifications.

Prepare administrative transmittals, job-submittal packages, report drafts, and coordinate report distribution to clients/project managers.

Data entry: input test results provided by technicians into lab database or software; assist in generating summary sheets for lab manager review.

Maintain calibration, certification, and QA/QC logs (for equipment, technicians) as directed by Lab Manager.

Assist with invoicing support and internal billing documentation (time sheets, sample counts) related to lab testing projects.

Maintain a clean, organized, and professional lab/office environment; ensure supplies (paper, forms, labels, sample bags) are stocked.

Communicate with field staff, clients, and internal teams to track sample progress, clarify documentation issues, and ensure timely report delivery.

Assist with ad-hoc administrative duties (filing, scanning, mailing, archiving) to support lab operations.

Ensure compliance with company policies, safety procedures, confidentiality of client data, and any applicable industry standards.

Requirements

High school diploma or equivalent required; some college coursework or certificate preferred.

Strong English and Spanish communication skills (written and verbal); able to correspond with field, lab and client stakeholders.

Demonstrable organizational skills, attention to detail, ability to manage multiple tasks/projects simultaneously.

Proficient computer skills including MS Office (Excel, Word) and ability to learn lab software/data entry systems.

Valid Texas driver’s license and clean driving record (since interaction with field operations may occur).

Willingness to work occasional overtime or weekends if lab schedule demands.

Ability to pass pre-employment and random drug test.

Experience working in a construction materials testing environment (CMT) or familiarity with ASTM/AASHTO test reporting formats (soil, aggregate, concrete).

Previous experience in administrative support or documentation control in an engineering/testing lab.

Familiarity with sample tracking systems or lab information management software (LIMS).

Prior certifications or training in CMT testing (e.g., ACI Laboratory Technician) is a plus though not required.

Basic understanding of construction site workflows or geology/geotechnical materials is helpful.
