8:00 a.m. to 4:30 p.m.

The Health Information Management (HIM) Department Manager is responsible for the daily operations and strategic oversight of the HIM department, with a specific focus on pre-authorization, release of information (ROI), and the scanning and indexing of patient health records into the electronic health record (EHR) system. This role ensures that all processes comply with federal and state regulations, accreditation standards, and organizational policies to maintain data integrity, privacy, and timeliness. The HIM Manager is also responsible for coordinating our monthly Medical Staff meetings.

Essential Job Duties and Responsibilities

  • Leadership and Supervision
    • Supervise, coach, and evaluate HIM staff assigned to pre-authorization, ROI, and scanning/indexing.
    • Monitor productivity and quality metrics to ensure departmental efficiency and service excellence.
    • Coordinate staffing schedules, training, and development to support continuous improvement.
    • Maintain strong understanding of HIPAA, release of information regulations, and payer authorization requirements.
  • Pre-Authorization
    • Oversee the pre-authorization process for medical procedures and services, ensuring timely submissions to payers.
    • Collaborate with clinical and administrative departments to minimize denials and delays in patient care.
  • Release of Information (ROI)
    • Ensure timely and compliant processing of ROI requests in accordance with HIPAA, state laws, and organizational policy.
    • Monitor and manage escalated patient or legal requests as needed.
  • Document Imaging & EHR Integration
    • Manage the scanning, indexing, and quality control of paper documents into the EHR system.
    • Ensure scanned records are complete, accurate, and accessible for clinical use.
  • Compliance & Quality
    • Maintain up-to-date knowledge of health information regulations and ensure departmental compliance.
    • Conduct routine audits to identify opportunities for process improvement and risk mitigation.
  • Medical Staff Coordinator
    • Schedule and coordinate regular and special meetings of the medical staff, including Medical Executive Committee, Credentials Committee, Quality/Peer Review, and other standing or ad hoc committees as required by the Medical Staff Bylaws.
    • Prepare and distribute meeting agendas and materials in accordance with bylaws, policies, and advance notice requirements.
    • Attend medical staff meetings to record and transcribe accurate and confidential meeting minutes.
    • Track and ensure follow-up on action items, decisions, and recommendations resulting from medical staff meetings.
    • Maintain organized and secure records of agendas, minutes, and related correspondence in compliance with regulatory and accreditation standards.
    • Serve as liaison between the Medical Staff, hospital administration, and other departments to facilitate effective communication and workflow.
    • Ensure compliance with the hospital’s Medical Staff Bylaws, rules, and regulations in all aspects of committee coordination.
    • Support credentialing and reappointment processes by ensuring timely review and presentation of files to the appropriate committees.
  • Collaboration
    • Serve as a liaison with clinical departments, IT, compliance, and billing to support interdepartmental workflows.
    • Participate in projects related to EHR upgrades, process automation, or HIM initiatives.
    • Assumes frontline responsibilities as needed to maintain continuity of operations during staff absences, turnover, or increased workload.
    • Completes other duties as assigned.

Requirements

  • Education
    1. Bachelor’s degree in Health Information Management, Health Administration, or related field required.
  • Licenses, Certifications, or Registrations
    1. Valid Driver’s License, required.
    2. RHIA or RHIT, required.
  • Experience
    1. Minimum 3–5 years of progressive HIM experience, required.
    2. At least 1–2 years in a supervisory or management role. preferred
  • Skills
    1. Exceptional organizational, communication, and leadership skills.
    2. Ability to manage multiple priorities in a fast-paced environment.
