Job Summary

The Office Manager oversees the workflow of the reception and office area, ensuring smooth and efficient daily operations. This role collaborates closely with administrators, practitioners, and clinicians to deliver high-quality service to consumers and visitors. Based on site needs, the Office Manager may be responsible for maintaining program records, handling sensitive and confidential information, and ensuring office and medical supplies are adequately stocked and tracked. The position includes supervising reception staff, maintaining consistent front desk coverage, and stepping into front desk duties when necessary. The Office Manager also supports administrators with a variety of tasks, with additional responsibilities varying by location.

Minimum Requirements:

Education: High school diploma or General Education Degree (GED) required.

Licensure/Certification: Valid drivers license and auto insurance. At least 21 years of age.

Experience: One or more years of related experience. Supervisory experience preferred.

Preferred Experience/Skills: Requires proficient skills in Microsoft Office suite, including Word, Excel and Outlook email.


Key Responsibilities

  • Lead and support reception staff with a focus on professionalism, respect, and inclusivity
  • Oversee daily front desk operations, ensuring efficiency and consistent coverage
  • Maintain a clean, organized, and welcoming reception and lobby area
  • Manage incoming mail, faxes, and internal communications
  • Maintain and update databases, records, and required state documentation
  • Oversee office logistics including supplies, petty cash, facility keys, and equipment logs
  • Process invoices, check requests, and contractor timesheets
  • Support leadership with reports, data tracking, and administrative tasks
  • Monitor program accounts, service provider records, and related documentation
  • Maintain safety, security, and compliance records
  • Track IT requests and assist with issue resolution
  • Address and document consumer concerns, supporting timely resolution
  • Coordinate schedules, meetings, and events, including ordering supplies as needed
  • Maintain office procedures and operational documentation
  • Prepare correspondence, reports, and meeting minutes
  • Hire, train, and supervise reception staff in alignment with company policies

Additional duties may be assigned based on organizational needs and staff qualifications.

Physical & Work Environment


This role involves a mix of standing, walking, and occasional lifting, along with regular use of office equipment. You’ll work in a professional office setting with moderate noise levels and occasional exposure to outdoor conditions.
