Position Summary:
The Executive Administrator provides high-level support to the President of Mission Training International (MTI), ensuring efficient day-to-day operations and advancing key organizational initiatives. This role requires excellent organizational, communication, and problem-solving skills, as well as discretion and alignment with MTI’s mission and values.
Key Responsibilities:
Executive & Administrative Support
- Manage inbox, a complex calendar, travel logistics, expense reports, etc.
- Serve as the President’s point of contact; screen and prioritize communication.
- Prepare meeting agendas, take minutes, and ensure follow-up on action items.
- Draft, edit, and proofread documents including correspondence, reports, and presentations.
- Maintain organized filing systems (electronic and physical) with strict confidentiality.
Project & Stakeholder Coordination
- Track progress on key projects and initiatives; assist with deadlines and deliverables.
- Conduct research to support decision-making and presentations.
- Act as liaison with staff, board members, donors, missionaries, alumni, and external partners.
- Support planning and execution of events, conferences, and high-level meetings.
Organizational & Office Operations
- Assist in implementing policies, procedures, and organizational initiatives.
- Oversee office supplies and environmental needs for the President’s workspace.
- Identify and proactively resolve administrative challenges.
- Serve as a gatekeeper to manage the President’s time and priorities.
Mission-Specific Responsibilities
- Interact respectfully with missionaries, trainees, and alumni, offering support as needed.
- Assist with donor communications, acknowledgments, and data management.
- Support board activities, including preparing materials and tracking follow-up items.
- Uphold and represent MTI’s mission, vision, and values in all functions.
Qualifications:
Required:
- Personal relationship with Jesus Christ and alignment with MTI statement of faith
- Proven experience in executive or high-level administrative support
- Excellent organizational, communication, and multitasking skills
- Proficiency in Microsoft Office Suite and office technology
- Professionalism, discretion, and strong attention to detail
- Ability to prioritize, solve problems, and work independently
Preferred:
- Nonprofit or cross-cultural experience
- Familiarity with donor databases or CRM systems
- Event planning and/or project management background
Work Environment:
This role operates in a dynamic, mission-driven context. Flexibility is required for occasional evening/weekend work or travel coordination.
Job Type: Full-time
Pay: $22.00 - $26.00 per hour
Expected hours: 35 – 45 per week
