Hi, we're Speks, a NYC-based product design company creating premium sensory products for teens and adults. We sell globally across wholesale, retail, and DTC, and we're growing fast.
We're looking for an experienced Business Operations Manager to support our financial operations, HR functions, and operational infrastructure. You'll work closely with leadership, finance, operations, and every team in the company to keep our business running smoothly.
This is a full-time, in-office role based in Midtown Manhattan.
What You'll Do
Financial Operations & Credit Management
- Manage customer credit evaluation, approval, and credit limits
- Monitor accounts receivable collections
- Coordinate accounts payables and payment processing
- Serve as primary liaison with insurance brokers and underwriters
- Support fractional accounting/financial manager on reporting, reconciliation, and process improvements
- Assist in organization of legal documents, including contracts and vendor agreements
HR & People Operations
- Lead new hire onboarding, including employment agreements and system setup
- Serve as primary liaison to our PEO service, supporting benefits administration and employee inquiries
- Track and process employee expenses and reimbursements
- Track employee milestones
Office Management
- Oversee day-to-day office operations
- Manage and disperse all incoming and outgoing sample requests
- Manage office policies and procedures
- Coordinate facility needs, supplies, and vendor relationships
Technology & Tools
- Manage company-wide tech stack (software, apps, integrations)
- Maintain company-wide reporting package
- Coordinate with IT vendors and service providers
What We're Looking For
- 5+ years in administrative operations, HR, finance operations, or office management
- Strong Excel and Google Workspace skills
- Experience using AI tools in a professional setting to streamline operations or reporting
- Proven ability to coordinate across multiple departments and priorities
- Familiarity with accounting software, HR systems, or operational management tools
- Experience managing AR, AP, and expense processes
- Experience supporting insurance, legal, or compliance functions is a plus
- Strong organizational and problem-solving skills
- Ability to work independently while supporting multiple stakeholders
