The company is currently hiring an Event Service Manager. The Event Service Manager is responsible for communicating with guests and meeting planners to plan and execute successful meetings and events. They will work with the Sales Department to ensure contract expectations are met and exceeded. The Event Service Manager is responsible for the event supervision by communicating with other departments and ensuring the accuracy of event details. The Event Service Manager will always conduct themselves in manner which supports the core values of AJS Hotels. The Event Service Manager shall strive to provide exceptional service to both internal and external guests at all times.
Essential Job Functions and Responsibilities
- Lead the safety effort by personal example
- Support full hotel compliance with safety rules to further our goal of zero (0) accidents and encouragement of reporting and correcting near misses
- Adhere to SOPs and other work procedures as required to assure guest satisfaction and consistencies to our customers
- Immediately report all injuries to the supervisor or manager on duty
- Responsible for maximizing business to exceed budget expectations.
- Plan, implement and oversee assigned conventions for sales and conflict resolution.
- Manage customer relationships from initial turnover from Sales through post event phase to return to sales.
- Supervise contracted group room blocks for cutoffs and attrition.
- Oversee and enforce program deadline dates to release meeting space not necessary for maximizing hotel revenues.
- Conduct Planning Meetings and Site Inspections as per convention services departmental guidelines.
- Assure client satisfaction through convention implementation as measured by event survey data.
- Working with the Group Sales Manager to detail and service all confirmed group business
- Conduct BEO and Resume meetings on a weekly basis to ensure department heads are aware of group need
- Disseminate BEOs for group and affiliates 30 days before events.
- Will coordinate all logistical details once the group is made definite by Sales, including but not limited to transportation, guest rooms, conflict resolution, event times, equipment, menus, payments, credit applications/direct bills have been approved, VIP services, etc.
- Details and produces required documents such as Banquet Event Orders (BEO’s) and Resumes for entire hotel operation in a timely manner by discovering the maximum amount of specific convention information to mitigate changes during on-site execution of program.
- Ensure all essential communication is appropriately recorded into Delphi including but not limited to correspondence regarding billing, meeting room rental, and changes in Function Space. Prepare post-convention reports.
- Work together with other departments within the hotel to provide quality service to customers ensuring client satisfaction of all assigned conventions as measured by pre and post event survey data (Meeting Scope) to maintain a convention discipline standard of 93% or better annually.
- Host definite clients visiting the hotel to include customer entertainment such as dining in hotel restaurants and/or touring the hotel.
- Engage in convention meetings and assess bill with client.
- Other duties as assigned.

Education & Experience
- 2-4 years of management experience required.
- Previous experience in Convention Services preferably in a convention hotel.
- Excellent computer skills including Daylight Sales/Catering software system experience.
Work Environment
This job operates in a 4-star hotel environment. This role uses standard office equipment such as point of sales system, laptop computers, operation of all food and beverage equipment, bar and banquet equipment.
Physical Requirements
- Remain in stationary position for 8 hours throughout work shift
- Satisfactorily communicate with guests, management and co-workers to their understanding
- Moderate to heavy lifting and carrying items for delivery
- Standing and walking for prolonged periods
Position Type/Expected Hours of Work
The ideal candidate will have the flexibility to occasionally work outside of normal business hours including some nights, weekends and holidays.
