Responsibilities:
Schedule Management: Prepare and maintain accurate daily schedules for students, ensuring a well-balanced allocation of time for academic classes, vocational training, workshops, recreational activities, and other center-related events.
Student Tracking: Monitor and record student attendance and participation in scheduled activities, promptly addressing any concerns and coordinating with relevant stakeholders.
Academic and Vocational Coordination: Collaborate closely with academic and vocational instructors, counselors, and support staff to align schedules, ensuring a seamless integration of academic and vocational training activities.
Resource Optimization: Work with various departments to efficiently utilize classrooms, training labs, and center facilities, ensuring their availability as per the scheduled activities.
Communications: Facilitate effective communication of schedule changes and updates to students, staff, and relevant departments to minimize disruptions and enhance overall coordination.
Data Management: Maintain organized and up-to-date records of student schedules, attendance, and other related data in the center's management system.
Reporting: Generate regular reports on student schedule adherence, attendance, and other relevant metrics for management review.
Problem-Solving: Address scheduling conflicts and challenges proactively, finding feasible solutions while considering the best interests of the students and the center.
Compliance and Quality Assurance: Ensure that scheduling practices comply with established guidelines, regulations, and Job Corps program requirements.
Continuous Improvement: Actively participate in the enhancement of scheduling processes, seeking feedback and suggesting improvements to optimize student experiences.
Requirements:
Education: High school diploma or equivalent is required. Additional education in office management, business administration, or a related field is advantageous.
Experience: Prior experience in administrative roles or coordinating schedules is preferred, but not mandatory. Willingness to learn and adapt is essential.
Organizational Skills: Exceptional attention to detail and the ability to manage multiple student schedules effectively.
Communication: Excellent written and verbal communication skills to interact with students, staff, and various departments.
Computer Proficiency: Comfortable using computer applications and scheduling software to manage data and create reports.
Collaborative Nature: A team player who can work closely with colleagues to ensure seamless student schedule operations.
Adaptability: Ability to thrive in a dynamic environment and handle last-minute changes with composure.
