Position Overview
The Operations Manager will lead the day-to-day administrative and operational functions of COOL Church, ensuring our systems, people, and processes align with the churchs mission and values. This role combines strategic execution, organizational leadership, and servant-hearted stewardship to create efficiency and support ministry growth.
The right candidate is a systems-minded leader who thrives in a fast-paced, faith-driven environment someone who can bring order, anticipate needs, and empower teams while living out the COOL Church values. This role requires flexible working hours, including evenings and weekends as dictated by church services, events, and ministry programming.
Work Schedule & Environment
- This is a full-time, onsite position
- Requires flexible working hours, including Sundays, evenings, and additional days dictated by ministry programming, events, or operational needs
- Moderate physical activity may be required for event setup or facility coordination.
- Some remote administrative work may be permitted by approval.

- Salary range: $48,000 $55,000, commensurate with experience, skillset, and ministry background.

Key Responsibilities
Operational Leadership
- Oversee daily church operations, including facilities, scheduling, office administration, and vendor relations.
- Develop and manage systems that ensure smooth coordination between ministries, volunteers, and staff.
- Ensure compliance with local, state, and federal regulations (e.g., safety, HR, data).
- Maintain and improve operational policies and procedures for efficiency and clarity.
Finance & Stewardship
- Collaborate with the finance team to manage budgets, track expenses, and ensure financial accountability.
- Support stewardship initiatives by maintaining accurate records and reporting systems.
- Help optimize resource allocation to support ministry goals.
Team & Culture Development
- Model and cultivate the COOL Church staff values in daily leadership.
- Provide administrative support and structure to ministry leaders so they can focus on people and purpose.
- Serve as a bridge between operations and ministry teams to ensure clarity, communication, and collaboration.
Systems & Process Improvement
- Implement project management systems (e.g., Planning Center, Asana, or Monday.com) to streamline ministry execution.
- Evaluate workflows regularly to reduce bottlenecks and enhance productivity.
- Introduce scalable solutions that enable ministry expansion.
Facilities & Logistics
- Manage maintenance, safety, and usability of facilities to create an excellent and welcoming environment.
- Book events and Coordinate setup/logistics for services, events, and special gatherings.
- Oversee vendor contracts and relationships (cleaning, maintenance, etc.).
HR Oversight & People Support
The HR Coordinator will report directly to the Operations Manager. Responsibilities include:
- Provide leadership, direction, and accountability for the HR Coordinator.
- Ensure timely and accurate onboarding, background checks, volunteer processing, and personnel documentation.
- Review and support payroll submissions, staff timekeeping, insurance updates, and HR compliance reporting.
- Partner with the HR Coordinator to maintain staff records, handbooks, policies, and SOPs.
- Collaborate with HR Coordinator and Chief of Staff to ensure alignment on hiring processes, staff transitions, and organizational culture.
- Support conflict resolution, employee communication, and healthy staff culture through consistent HR systems.
- Oversee the development of HR workflows, forms, and automated processes to support ministry growth.

- Weekend services, events, and midweek activities run smoothly with no preventable operational gaps.
- Facilities are consistently clean, safe, and fully prepared before every Sunday and major event.
- Operational systems and procedures are clear, updated, and consistently followed.
2. Strong Communication & Collaboration
- Staff and ministry leaders report timely, clear, and proactive communication from the Operations Manager.
- Ministry teams feel supported, not bottlenecked, by operational processes.
- Information flows smoothly between the Chief of Staff, ministries, and operations teams.
3. Effective Leadership & Team Development
- The HR Coordinator, maintenance staff, and admin volunteers feel equipped, supported, and aligned.
- Tasks are delegated appropriately, and team members receive clear expectations.
- The Operations Manager models COOL values and fosters unity across teams.
4. Stewardship & Resource Management
- Budget spending stays aligned with church priorities and approved financial processes.
- Supplies, inventory, and equipment are maintained and readily available.
- Vendors are managed professionally, with contracts, scheduling, and payments handled on time.
5. Systems & Process Improvement
- Processes are continually refined to increase clarity, reduce wasted time, and improve ministry execution.
- Project management tools are used consistently to track and complete tasks.
- Documentation (SOPs, checklists, forms, workflows) is updated and accessible.
6. HR & People Systems Stability
- Onboarding, background checks, timekeeping, and staff records are accurate, timely, and compliant.
- HR Coordinator receives clear leadership, accountability, and support.
- HR-related processes contribute to a healthy, organized, and unified staff culture.
7. Culture & Spiritual Alignment
- The Operations Manager consistently lives out the COOL Staff Values:

Qualifications
Required:
- Proven experience in operations, administration, or project management (35 years preferred).
- Excellent organizational, communication, and leadership skills.
- Proficiency with digital tools (e.g., Google Workspace, Planning Center, project management software).
- Financial acumen (budget management, reporting, stewardship).
- A heart for ministry and alignment with COOL Churchs mission and core values.
Preferred:
- Experience working in a church or nonprofit environment.
- Knowledge of HR, compliance, and volunteer management systems.
- Bachelors degree in Business, Organizational Leadership, or related field.
