Office Manager
Aibel Endodontics | Albany, NY

Salary: $65,000 – $75,000 (depending on experience)

Benefits: 50% Medical, PTO, Simple IRA, Bonus Plan


Progressive, high quality, patient-centric endodontic office in Albany, NY, is seeking a dynamic and motivated professional to perform the vital function of office manager to support and cultivate our well-established and thriving practice. The office manager will oversee the daily operations and ensure patient satisfaction, provide input in goal setting with the practice owners, and will assist with community outreach and marketing to promote the practice.


ESSENTIAL DUTIES AND RESPONSIBILITIES:

Office Management:

· Responsible for developing a patient-focused culture among staff, leading by example, and ensuring a world-class patient experience for all.

· Facilitates appropriate systems and integration of systems.

· Communication with team leaders at referral offices, and act as main point of contact for community outreach efforts.

· Act as the purchasing agent for the organization, including vendor research, bid requests, review, and oversight.

· Responsible for the office’s day-to-day operations, including coordinating with clinic lead on supply requisition, managing maintenance services and office equipment, vendor communications, and personnel management providing coverage for front office when necessary.

· Generate reports and serve as a business operations expert by identifying areas in need of improvement. Conduct research and make recommendations to spearhead an action plan.

· Oversight of office, employee HIPAA compliance, and OSHA regulations.


Executive Support:

· Provide administrative support to the owners, including calendar management, composing, and preparing correspondence, preparing reports, and overall management of operations.

· Oversee meeting scheduling for office staff.


Human Resources:

· Administer various human resource plans and procedures for all company personnel.

· Recommend new approaches, policies, and procedures to effect continual improvements in workplace culture.

· Ensure patient-focused company culture by offering continuous feedback, support, and coaching.

· Collaborate with owner on recruitment and retention initiatives.

· Develop and administer formal employee review and improvement plan.

· Other duties as assigned.

KNOWLEDGE SKILLS AND ABILITIES

Proficient in Microsoft Office suite of products.

Knowledge of HIPAA rules, regulations, and compliance.

Ability to work more than 40 hours a week, on occasion, to meet the needs of the practice.

EDUCATION AND EXPERIENCE

Bachelor’s degree in Business Administration or Healthcare Management and at least three to five (3-5) years in a Medical or Dental Office Manager role.

OR in lieu of a degree

Five plus (5+) years in a Medical or Dental Office Manager position or health care profession.
