Program Overview:

Nash Harbor Solutions is seeking a senior-level Scheduler with demonstrated experience supporting executive leadership in a government or interagency environment.

This senior-level role provides high-level scheduling, logistical, and administrative support to the Under Secretary for Public Diplomacy (U/S) and the R Front Office. The Scheduler ensures seamless coordination of the U/S’s daily engagements, briefings, travel, and operational priorities.

Serving as a central liaison between senior leadership, Department bureaus, interagency partners, and external stakeholders, this role requires exceptional judgment, discretion, and professionalism. The ideal candidate brings executive presence, strong interpersonal awareness, and the ability to navigate complex personalities and fast-paced, high-visibility environments while maintaining absolute accuracy and composure.

Key Responsibilities:

Daily Scheduling & Coordination (40%)

  • Conduct a daily sync with the U/S to review priorities, confirm schedule accuracy, and identify emerging requirements.
  • Prepare and assemble the U/S Daily Book, including briefing materials, read‑ahead packets, logistics notes, and talking points.
  • Manage the U/S’s calendar: schedule, update, deconflict, and confirm all meetings, calls, and events.
  • Distribute the U/S’s daily schedule to 7th Floor principals and ensure alignment with Department leadership.
  • Submit Visitor Access Requests (VARs) and escort guests as needed.
  • Coordinate with INR Security Officer for intelligence briefings and secure materials.

Front Office Scheduling Operations (30%)

  • Manage the RMSGS calendar to ensure alignment with U/S priorities and front office taskings.
  • Oversee the R_Scheduling inbox, triaging requests, maintaining tracking systems, and ensuring timely responses.
  • Serve as POC for weekly scheduling memos and meetings; consolidate inputs and brief senior staff.
  • Act as POC for official U/S travel, coordinating with bureaus, posts, and interagency partners.

Logistics, Travel, and Operational Support (30%)

  • Submit VARs, motor pool requests, and coordinate with Executive Secretariat, Diplomatic Security, and logistics units.
  • Serve as liaison with the Ops Center for event logistics and operational notifications.
  • Coordinate domestic and international travel planning, including itineraries, lodging, motorcade, and briefing materials.
  • Ensure the U/S receives all required memos, readouts, updates, and background materials.
  • Coordinate technology and resource needs for U/S engagements.

Deliverables

  • Accurate and up‑to‑date U/S and RMSGS calendars.
  • Daily Book delivered on schedule each day.
  • Weekly scheduling memo and meeting coordination.
  • Timely submission of VARs, motor pool requests, and travel documentation.
  • Complete logistics coordination for domestic and international travel.
  • Daily dissemination of the U/S schedule to required leadership.

Qualifications:

  • Bachelor’s degree or higher.
  • Experience managing complex, high‑visibility projects or operations.
  • Proficiency with scheduling systems, Microsoft Office, databases, and project management tools.
  • Strong written and verbal communication skills.
  • Excellent analytical, organizational, and time‑management abilities.
  • Familiarity with Department of State operations, protocols, and interagency coordination preferred.
  • Ability to obtain and maintain a Secret clearance (TS/SCI preferred).

Physical Demands:

While performing the duties of the job, the incumbent will be exposed to normal demands associated with an office environment. Ability to work on a computer for long periods, and communicate with individuals by telephone, email, and face to face. This position requires the incumbent to have the ability to stand, walk, sit, use hands to finger, handle or feel objects, tools, or controls, reach with hands and arms, talk, and hear. The employee must be able to lift and/or move up to 20 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust and focus.

The noise level in the work environment is usually light.
