Position Title: Human Resources Administrative Assistant
About the Role:
The Human Resources Administrative Assistant plays a crucial role in supporting the HR department by managing a variety of administrative tasks that ensure smooth and efficient HR operations. This position is responsible for maintaining employee records, coordinating recruitment processes, and assisting with onboarding and training activities. The role requires close collaboration with the HR Director and other team members to facilitate communication and ensure compliance with company policies and legal requirements. By handling routine inquiries and managing documentation, the assistant helps create a positive experience for employees and candidates alike. Ultimately, this role contributes to the overall effectiveness of the HR function, enabling the organization to attract, retain, and develop talent successfully.
Minimum Qualifications:
- High school diploma or equivalent required; Associate’s degree or higher in Human Resources, Business Administration, or related field preferred.
- Proven experience in an administrative or assistant role, preferably within a Human Resources department.
- Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with HR information systems.
- Excellent verbal and written communication skills.
Preferred Qualifications:
- Experience with applicant tracking systems (ATS) and HRIS software.
- Basic understanding of employment laws and HR best practices.
- Certification such as PHR (Professional in Human Resources) or SHRM-CP (Society for Human Resource Management - Certified Professional).
- Experience working in a fast-paced corporate environment.
- Ability to handle sensitive information with discretion and maintain confidentiality.
Responsibilities:
- Maintain and update employee records in the HR information system with accuracy and confidentiality.
- Assist in the recruitment process by scheduling interviews, communicating with candidates, and preparing necessary documentation.
- Support onboarding activities including preparing new hire packets, coordinating orientation sessions, and ensuring completion of required paperwork.
- Respond to routine employee inquiries regarding HR policies, benefits, and procedures in a timely and professional manner.
- Coordinate training sessions and maintain training records to support employee development initiatives.
- Prepare HR reports and assist with compliance audits by gathering and organizing relevant data.
- Manage general administrative duties such as filing, data entry, and handling correspondence related to HR activities.
