We’re a full-service B2B marketing agency that is big on initiative, clarity, and follow-through—looking for an Executive Assistant to serve as the trusted right hand to our President and Owner. This role blends personal assistant support with professional, business-critical execution. You’ll help keep days running smoothly, decisions moving forward, and details handled before they become problems. This is not a passive “wait for instructions” role. It’s for someone who thrives in motion, enjoys variety, and takes real pride in making sure nothing gets dropped.

What You’ll Do

Executive & Agency Support

  • Manage a dynamic calendar and help prioritize what matters most
  • Stay on top of a busy email inbox, flagging immediate response messages and organizing others for later
  • Take great meeting notes and turn them into clear action items
  • Track follow-ups so nothing slips through the cracks
  • Gather expenses, track costs, and support project accountability
  • Be a connector between leadership and the account services team

Personal Assistant Support

  • Manage personal appointments, schedules, and logistics
  • Handle errands, returns, and one-off personal tasks
  • Anticipate needs and solve small problems before they become big ones
  • Occasional support for two large and loveable dogs

What You’ll Bring to the Table (Requirements)

  • 3–5 years of experience as an Executive Assistant or in a similar high-support role
  • Proven ability to manage complex calendars and competing priorities
  • Strong organizational and follow-through skills
  • Demonstrated notetaking and documentation skills
  • Comfortable working in a fast-paced, dynamic environment
  • Self-starter with the ability to anticipate needs and act independently
  • Professional, confident communicator who can work effectively with big personalities
  • High level of discretion and trustworthiness
  • Nice to have: degree in marketing or related business field and/or experience in a creative agency

What an “Average” Day Might Look Like

9:30 AM – Arrive at the Mendota Heights office

  • Review emails, calendar, and priorities for the day
  • Prep for meetings, deadlines, or immediate needs

10:00 AM – 12:00 PM – Personal support & logistics

  • Manage personal scheduling, appointments, errands, and returns
  • Handle time-sensitive tasks that free up mental space for leadership
  • Adjust the day as needed—because things change

12:00 PM – 12:30 PM – Reset & regroup

  • Quick check-ins, lunch, prep for the afternoon

12:30 PM – 3:00 PM – Business support & follow-through

  • Support work needs across meetings and projects
  • Attend meetings, take notes, and clearly capture next steps
  • Track action items and follow up to make sure commitments turn into outcomes
  • Coordinate closely with the account services team to keep work moving

No two days are exactly the same—and that’s the point, this role requires someone with the flexibility to manage variable tasks and the consistency to be in-office every day.
