Our company is looking for a versatile and detail-oriented individual to join our team as a Receptionist/Data Entry Specialist. This dual role requires the ability to accurately input and update data into our company database while also serving as the first point of contact for visitors and clients. The ideal candidate will have strong organizational skills, excellent attention to detail, and a commitment to maintaining the accuracy and integrity of information.

Key Responsibilities:

Data Entry Specialist:

  • Input and update data accurately into the company database, following established guidelines and standards.

  • Review and verify the accuracy of data entries, correcting any errors or inconsistencies as needed.

  • Maintain the confidentiality and security of sensitive information, adhering to company policies and procedures.

  • Collaborate with team members to identify and resolve data-related issues, ensuring data integrity.

  • Generate reports and summaries of data as required, providing relevant insights and analysis.

Receptionist:

  • Greet and welcome visitors and clients in a friendly and professional manner.

  • Answer incoming phone calls, directing calls to the appropriate personnel, and taking accurate messages when necessary.

  • Maintain a clean and organized reception area, ensuring a positive first impression for visitors.

  • Assist with scheduling appointments and managing calendars for staff members.

  • Billing customers and handling accounts receivable.

  • Provide administrative support as needed, including filing, sorting mail, and preparing correspondence.

Qualifications:

  • High school diploma or equivalent; additional education or training in data entry, administrative support, or related field is preferred.

  • Must be reliable, responsible & dependable. (Looking for someone with good attendance.)

  • Minimum of 1-2 years of experience in data entry, reception, or similar role.

  • Strong attention to detail and accuracy.

  • Proficient in Microsoft Office.

  • Proficient in Quickbooks is a plus.

  • Excellent interpersonal and communication skills, both written and verbal.

  • Ability to multitask and prioritize responsibilities in a fast-paced environment.
