Human Resources Associate – Adult Care Facility
Location: New Rochelle, NY
We are seeking an experienced and motivated Human Resources Associate to join our Assisted Living Community team in New Rochelle, NY. The ideal candidate will provide comprehensive HR support throughout the employee lifecycle while ensuring compliance with New York State Adult Care Facility regulations and organizational policies.
Key Responsibilities
Human Resources Support

Serve as a resource for employees and managers regarding HR-related services, including benefits, insurance, retirement plans, leave management, recruitment, performance evaluations, and employee relations.

Provide support for time-off requests, performance management initiatives, pre-boarding, onboarding, and other HR processes.

Address employee inquiries via phone, email, and in-person interactions in a professional and courteous manner.

Escalate complex issues as needed and identify opportunities to improve HR processes and reduce recurring concerns.
Recruitment & Onboarding

Maintain open positions on recruitment platforms such as Apploi and other job boards.

Schedule interviews and coordinate candidate communications.

Conduct pre-employment activities including employment verification, certification and license verification, compliance reviews, and background check processing.

Facilitate onboarding activities including:

Reviewing background checks and medical clearances
-
Completing I-9 documentation

Processing new hire paperwork
-
Taking employee identification photos
-
Scanning and uploading documents into electronic systems

Ensuring employee files meet compliance requirements

Training & Employee Development
-
Conduct individual and group HR training sessions.

Develop and maintain training materials and resources.

Educate employees and managers on HR processes, policies, and system usage.

Assist with new hire orientations and in-service training programs.
Compliance & Record Management

Monitor annual compliance requirements, including employee evaluations, medical clearances, licenses, certifications, and mandatory training.

Maintain accurate employee records and personnel files.

Perform monthly audits of employee files to ensure regulatory compliance.

Scan, upload, and maintain required documentation in electronic and physical filing systems.
Administrative & Operational Support

Create employee identification badges and assist with Fingercheck administration.

Attend department and agency meetings.

Assist with special projects and continuous improvement initiatives.

Support agency operations as needed during periods of staff absence or increased workload.

Review and understand all agency forms, policies, and departmental functions.
Qualifications

Minimum of 2 years of Human Resources experience, preferably in a healthcare, adult care, assisted living, skilled nursing, or long-term care setting.

Knowledge of New York State Adult Care Facility regulations and compliance requirements preferred.

Experience with employee onboarding, benefits administration, recruitment, and personnel file management.

Strong organizational, communication, and customer service skills.

Proficiency with HRIS systems, Microsoft Office Suite, and electronic document management systems.

Ability to manage multiple priorities while maintaining confidentiality and professionalism.

Salary: $55,000 to $60,000 per year, based on qualifications and experience.
Experience with Human Resources and New York Adult Care Facility regulations is strongly preferred.
