Executive Administrative Assistant Role
The Executive Administrative Assistant will be responsible for organizing the life, business ownerships, and investments for the CEO of a registered investment advisory firm. Responsibilities will revolve around completing tasks and administrative duties, including ad hoc, revolving around these financial interests and other life obligations. Performance in the position will be judged on the ability of the assistant to help the CEO stay organized, make sure important deadlines are met, and free up time for the CEO to accomplish duties that are a better use of his time.
Essential Functions/Responsibilities
- Assist the CEO, through superior organizational skills, to ensure important deadlines are met/accomplished, important information is easily recalled, and important tasks are completed correctly and on time.
- Anticipate the needs of the CEO by facilitating the completion of other ad hoc tasks.
- Assist the CEO in posting client debriefs into CRM.
- Assist the CEO with important responsibilities involving real estate owned, including construction, contractors, service providers, and maintenance.
- Perform bookkeeping and recording keeping.
- Manage the CEO’s Outlook calendar and multiple email address to ensure the CEO’s days, weeks, months are organized with time scheduled efficiently and effectively.
- Tracking and organizing investments, insurance (life, car, home, etc.), and other financial responsibilities.
- Manage and organize mail and other shipping needs.
- Helping set up travel for the CEO, including shopping for the most efficient and cost effective options.
- Implement systems of organization and follow up to improve processes and organize information.
- Providing executive follow up to help expedite the completion of outstanding, high priority tasks.
- Providing timely execution of service tasks related investments and business ownerships.
- Communicating and collaborating with individuals and 3rd party institutions to ensure the CEO questions are answered, needs are met, and expectations are exceeded.
- Ensuring spreadsheets and databases are organized and updated.
Qualifications
- Bachelors degree and 2+ years experience in a Executive Assistant role, or 5+ years of experience in a Executive Assistant role.
- Accounting experience preferred.
- Exceptional attention to detail and organizational skills.
- Problem solving and process improvement skills.
- Excellent verbal & written communication skills.
- The ability to work independently without the constant guidance from superiors.
