Job Summary

The Medical Receptionist / Front Office Coordinator is responsible for delivering exceptional customer service while supporting daily front office operations in a high-volume clinical environment. This role serves as the first point of contact for patients and visitors and plays a critical role in ensuring accurate patient registration, scheduling, insurance verification, and documentation while maintaining strict HIPAA compliance.


Requirements

  • High school diploma or equivalent required
  • Minimum of 2 years of front office or medical receptionist experience (orthopedic or surgical specialty preferred)
  • Proficiency with electronic health record (EHR) systems; Epic experience preferred (primary EMR: Doctor Chrono)
  • Working knowledge of insurance plans, prior authorizations, and medical billing workflows
  • Excellent verbal and written communication skills
  • Strong organizational skills with high attention to detail
  • Ability to remain calm, professional, and customer-focused in a fast-paced environment


Key Responsibilities

  • Greet and assist patients and visitors in a courteous and professional manner
  • Manage patient check-in and check-out processes, including verifying demographics, obtaining forms, and securing signatures
  • Operate multi-line phone systems to schedule appointments, answer inquiries, relay messages, and manage voicemail follow-up
  • Schedule postoperative follow-up appointments and communicate care instructions to patients
  • Verify insurance eligibility and benefits prior to appointments or procedures
  • Collect co-pays, deductibles, and outstanding balances; accurately post payments in the EHR system
  • Prepare, maintain, and ensure completeness of patient charts in the electronic health record
  • Scan and upload documentation, imaging, referrals, and preoperative testing results
  • Perform general office duties including filing, faxing, data entry, and supply restocking
  • Maintain strict adherence to HIPAA regulations and patient privacy standards
  • Support safe, secure, and confidential handling of all patient information and communications
