Job Summary
We are seeking a Construction Project Coordinator with a minimum of 5 years of experience to join our Newark office. In this role, you will be a vital link between our project manager, estimator, and field team. You will help in the administrative and logistical of running projects, ensuring they meet Bismark’ s high standards for quality and timeliness.
Key Responsibilities
- Document Control: Oversee all project-related documentation, including contracts, AIA payment documents, RFIs, submittals, and change orders.
- Subcontractor Management: Communication with subcontractors and vendors to update their paperwork and documentation, verify compliance, and coordinate material deliveries.
· Submittal Management & Tracking - Create and maintain the Submittal Log for each project.
- Meeting Coordination: (in sometimes) Attend project progress meetings, take detailed minutes, and follow up on "Action Items" to ensure accountability.
- Make and maintain accurate Purchase Orders for materials, equipment rentals, and subcontractors.
- Proactively follow up with subcontractors to collect and verify Certificates of Insurance (COI) - Review and process Subcontractor Payment Applications.
- Assist in the preparation of bid packages and subcontractor’s proposals.
Qualifications
- Experience: Minimum of 3 years of professional experience in construction project coordination with a General Contractor.
- Education: Bachelor’s Degree in construction management, or Business is highly preferred. Candidates with a College/Associate’s degree and significant relevant experience will also be considered.
- Software Proficiency:

- Advanced skills in Microsoft Excel and scheduling tools like MS Project.
- Skills: Strong ability to track record of managing multiple projects simultaneously in a fast-paced environment.
