Position Overview:
The Executive Assistant to CSO will support the Chief Strategy Officer, managing schedules, communications, and administrative tasks. The Executive Assistant will have exceptional organizational skills and professionalism.
Essential Duties and Responsibilities:
- Provide critical administrative support to the CSO
- Manage meetings and events to optimize the executive’s time
- Coordinate all meeting logistics: technology, catering, detailed instructions for attendees
- Draft meeting agendas, memos, and prepare communications for the CSO
- Ensure CSO’s time is well organized and used to support the goals of the company
- Prioritize and respond to emails and phone calls, acting as a liaison between the CSO and internal and external stakeholders
- Prepare reports, presentations, and correspondence, ensuring all materials are accurate and professionally formatted
- Plan and coordinate travel itineraries, including booking flights, accommodations, and transportation, while managing travel-related expenses
- Partner with key stakeholders on special projects across the organization
- All other duties, special projects, and tasks as assigned
Qualifications/ Experience
- Exceptional ability to manage multiple tasks and prioritize effectively
- Strong verbal and written communication skills to interact professionally with various stakeholders
- Advanced skills in Microsoft Office Suite and other relevant software tools
- Resourceful and proactive in identifying issues and implementing solutions independently
- Ability to handle sensitive information with discretion and maintain confidentiality at all times
- Basic understanding of global business organizations and processes
- Minimum 7 years of administrative experience (preferably with government relations experience)
Education
- High School Diploma
- Bachelors Degree in Business Administration or a related field Preferred
Special Knowledge / Skills:
- At least 2 years of experience in defense industry or government relations
- Experience working with global business organizations
Physical Demands / Work Environment:
While performing the duties of this job, the employee is regularly required to talk and hear and use hands to finger, handle, and feel. The employee is required to reach with hands and arms and have adequate mobility to stand, walk, sit, stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to twenty (20) pounds. Specific vision abilities required by this job include close vision and ability to adjust focus.
