$21-$24/hr

Job Summary
Our client is seeing a dynamic and organized Project Coordinator/Administrative Assistant to join their team. This vital role combines administrative support for the small office while concentrating on assisting the estimating team and project managers. Ensure smooth office operations and follow through tasks. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills to support various departments and client interactions. This position offers an exciting opportunity to contribute to a fast-paced environment where efficiency and professionalism are key. This role requires everything from greeting clients and answering phones to assisting with contract administration and engaging subcontractors.

Responsibilities

  • Support estimating activities by reviewing and printing project specifications and assist with bid submissions and prequalifications.
  • Assist in execution of bid packages, change order requests, etc. by gathering data and support the estimating team/project managers administratively.
  • Organize files, documents, and project records through effective filing systems to ensure quick retrieval and confidentiality. Order Certificate of Insurance
  • Provide exceptional customer service by supporting clients, vendors, and internal teams with inquiries and administrative needs.
  • Coordinate Outlook calendar management, schedule appointments, meetings, and deadlines for team members or project managers.
  • Support accounting such as match invoices to packing slips and basic data entry.
  • Maintain Fleet and EZ Pass list
  • Maintaining a well-organized workspace.
  • Assist with office management duties such as overseeing any technical issues and/or contacting IT, managing office supplies inventory, and ensuring a welcoming front desk environment.
  • Manage front desk duties, including greeting visitors, and directing calls with professional phone etiquette.

Qualifications

  • Proven experience in office administration or clerical roles with a strong background in customer service.
  • Contract Administrator experience helpful
  • Time Management Skills: Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Adobe, and basic computer literacy skills.
  • Familiarity with QuickBooks or similar bookkeeping software is preferred.
  • Strong typing skills with attention to detail for proofreading and data entry tasks.
  • Ability to handle confidential information discreetly while always maintaining professionalism.
