This position requires a dynamic individual with strong administrative skills and experience using QuickBooks for basic financial tasks. Key Responsibilities:

  • Perform general office administrative duties such as answering phone calls, managing correspondence, and scheduling appointments.
  • Maintain office organization by managing supplies, filing systems, and ensuring smooth daily operations.
  • Use QuickBooks to input transactions, manage invoices, and track expenses.
  • Assist with accounts payable and receivable functions, including bill payments and client invoicing.
  • Reconcile bank and credit card statements in QuickBooks, ensuring accuracy.
  • Generate financial reports for management and assist with month-end reporting.
  • Support management with document preparation, data entry, and handling confidential information.
  • Coordinate with vendors and clients regarding invoices and payments.
  • Troubleshoot and resolve basic technical issues with office equipment and software.

Qualifications:

  • Proven experience as an Administrative Assistant or similar role.
  • Proficiency in QuickBooks with at least 1-2 years of experience.
  • Strong computer skills, including Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent attention to detail and accuracy in record-keeping.
  • Strong organizational and multitasking abilities.
  • Basic knowledge of bookkeeping and accounting principles.
  • Ability to work independently and prioritize tasks effectively.
  • Strong written and verbal communication skills.
  • High level of discretion when handling sensitive or confidential information.

Preferred Skills:

  • Experience with additional office management or accounting software.
  • Prior experience in a small to medium-sized business environment.
