Key Responsibilities:
- Perform general office administrative duties such as answering phone calls, managing correspondence, and scheduling appointments.
- Maintain office organization by managing supplies, filing systems, and ensuring smooth daily operations.
- Use QuickBooks to input transactions, manage invoices, and track expenses.
- Assist with accounts payable and receivable functions, including bill payments and client invoicing.
- Reconcile bank and credit card statements in QuickBooks, ensuring accuracy.
- Generate financial reports for management and assist with month-end reporting.
- Support management with document preparation, data entry, and handling confidential information.
- Coordinate with vendors and clients regarding invoices and payments.
- Troubleshoot and resolve basic technical issues with office equipment and software.
Qualifications:
- Proven experience as an Administrative Assistant or similar role.
- Proficiency in QuickBooks with at least 1-2 years of experience.
- Strong computer skills, including Microsoft Office Suite (Word, Excel, Outlook).
- Excellent attention to detail and accuracy in record-keeping.
- Strong organizational and multitasking abilities.
- Basic knowledge of bookkeeping and accounting principles.
- Ability to work independently and prioritize tasks effectively.
- Strong written and verbal communication skills.
- High level of discretion when handling sensitive or confidential information.
Preferred Skills:
- Experience with additional office management or accounting software.
- Prior experience in a small to medium-sized business environment.
