Administrative Assistant – Front Desk & Lead Coordinator
Position Overview
We are seeking a professional and detail-oriented Administrative Assistant to serve as the first point of contact for incoming leads and visitors. This role is responsible for managing inbound phone, email, and web inquiries, ensuring all leads are promptly captured and directed to the appropriate team members.
The position also includes front desk duties such as greeting customers, coordinating appointments, and maintaining a welcoming and organized office environment.
Key Responsibilities
Inbound Lead Management
• Respond promptly to inbound phone calls, emails, and web inquiries.
• Qualify and record leads accurately in the company’s CRM or tracking system.
• Route qualified leads to the appropriate sales or project management personnel.
• Follow up on pending leads to ensure timely communication and conversion.
• Track and report lead activity, conversion rates, and response times.
Front Desk & Administrative Support
• Greet and assist walk-in customers and visitors in a friendly, professional manner.
• Answer and direct phone calls to appropriate staff members.
• Manage front desk operations including mail, deliveries, and general correspondence.
• Maintain a clean, organized, and professional reception area.
• Schedule meetings, prepare documents, and assist with office coordination tasks.
• Support internal teams with clerical and administrative projects as needed.
Qualifications
• High school diploma or equivalent required
• 2+ years of experience in an administrative, receptionist, or customer service role preferred.
• Strong verbal and written communication skills.
• Excellent organization, multitasking, and time management abilities.
• Proficient with Microsoft Office (Word, Excel) and CRM software.
• Professional, friendly demeanor and strong customer service orientation.
