Position Overview
The Patient Services Coordinator is responsible for accurate patient registration, scheduling, charge entry, and customer service support. This role will support the Epic Go-Live initiative, including a high-volume EHR data migration project, requiring sustained computer-based work for up to 8 hours per day. The position requires flexibility, attention to detail, and strong customer service skills in a fast-paced healthcare environment.
Key Responsibilities
- Assist with large-scale backlog projects to transfer patient demographics and appointment data from legacy EHR systems into Epic
- Scrub and validate patient schedules to ensure data accuracy
- Resolve Epic work queues related to registration, follow-up, and charge review
Patient Registration & Check-In
- Enter and verify complete and accurate patient demographic and insurance information in Epic
- Greet patients, copy insurance cards, and ensure documents are uploaded to the medical record
- Obtain updated patient signatures and collect co-pays
- Communicate demographic and insurance changes to appropriate departments
Patient Check-Out & Financial Processing
- Verify patient charges and insurance information at check-out
- Schedule follow-up appointments as needed
- Collect balances and reconcile daily cash, check, and credit card transactions
- Run daily close and reconciliation reports, including bank deposit documentation
- Audit and correct charge errors prior to release
Scheduling
- Schedule new and established patient appointments based on provider availability, urgency, and patient preference
- Enter or verify patient demographic information during scheduling
Customer Service & Clerical Support
- Manage inbound call queues and provide accurate follow-up
- Answer phones, take messages, file documents, and perform general clerical duties
- Respond to patient and staff billing and insurance inquiries
Teamwork & Human Experience
- Collaborate with team members to meet patient and operational goals
- Participate in staff meetings and continuous improvement initiatives
- Create meaningful patient interactions by communicating clearly about wait times and visit expectations
- Demonstrate inclusive, patient-centered behaviors aligned with Novant Health’s mission, vision, and values
- Explain processes in plain language and use teach-back to ensure patient understanding
Required Qualifications
- High School Diploma or GED
- Minimum 1 year of healthcare administrative or patient services experience
- Epic experience required
- OnBase experience strongly preferred
- Strong customer service skills
- High computer proficiency and ability to work on a computer for extended periods
