Position Summary:

We are seeking a motivated and detail-oriented Front Office Support professional to serve as a key liaison between our customers and internal departments. This role is essential in ensuring timely, accurate, and professional responses to customer inquiries, service requests, and order processing in a fast-paced manufacturing environment. The ideal candidate is a strong communicator with exceptional organizational skills and a proactive, team-oriented approach.

Key Responsibilities:

  • Provide customer support by typing quotes, generating work orders, reviewing contracts, and handling sales inquiries

  • Assist the sales, accounting, and marketing teams with various administrative tasks

  • Maintain and update weekly production reports and job due dates

  • Request and track vendor Certificates of Insurance (COIs)

  • Prepare service and warranty work orders when needed

  • Retrieve and organize historical files for the sales team

  • File and maintain digital documents using systems already in place

  • Address customer concerns and escalate issues when necessary

  • Serve as a contact for incoming calls and visitors
  • Participate in special projects and support cross-functional team initiatives

Qualifications:

  • High school diploma or equivalent required; associate or bachelor's degree preferred

  • Minimum 2 years of customer service or paralegal experience

  • Experience in a manufacturing environment preferred

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook)

  • Strong verbal and written communication skills

  • Excellent organizational skills and attention to detail

  • Ability to prioritize tasks and remain calm under pressure

  • Team player with a strong sense of ownership and accountability
