Position Summary:
We are seeking a motivated and detail-oriented Front Office Support professional to serve as a key liaison between our customers and internal departments. This role is essential in ensuring timely, accurate, and professional responses to customer inquiries, service requests, and order processing in a fast-paced manufacturing environment. The ideal candidate is a strong communicator with exceptional organizational skills and a proactive, team-oriented approach.
Key Responsibilities:

Provide customer support by typing quotes, generating work orders, reviewing contracts, and handling sales inquiries

Assist the sales, accounting, and marketing teams with various administrative tasks

Maintain and update weekly production reports and job due dates

Request and track vendor Certificates of Insurance (COIs)

Prepare service and warranty work orders when needed

Retrieve and organize historical files for the sales team

File and maintain digital documents using systems already in place

Address customer concerns and escalate issues when necessary
- Serve as a contact for incoming calls and visitors

Participate in special projects and support cross-functional team initiatives
Qualifications:

High school diploma or equivalent required; associate or bachelor's degree preferred

Minimum 2 years of customer service or paralegal experience

Experience in a manufacturing environment preferred

Proficient in Microsoft Office Suite (Word, Excel, Outlook)

Strong verbal and written communication skills

Excellent organizational skills and attention to detail

Ability to prioritize tasks and remain calm under pressure

Team player with a strong sense of ownership and accountability
