Position Summary:
Concept Components, a growing AS9100-certified precision manufacturing and aerospace/defense job shop, is seeking a reliable, detail-oriented Full Charge Administrative Assistant. This role will provide critical day-to-day support to the Accounting and Purchasing departments while handling a wide range of clerical, administrative, and data entry tasks across the organization. The ideal candidate is organized, proactive, and comfortable working in a fast-paced manufacturing environment where accuracy and confidentiality are essential.
Key Responsibilities:
Accounts Payable (AP) Support
· Process vendor invoices, including data entry, three-way matching with purchase orders and receiving documents, and timely payments.
· Reconcile vendor statements and resolve discrepancies.
· Maintain accurate AP records and filing systems (digital and physical).
Accounts Receivable (AR) Support
· Prepare and send customer invoices (billing).
· Perform AR data entry and invoice matching.
· Assist with customer collections, including follow-up on outstanding balances.
· Maintain accurate AR records and filing systems (digital and physical).
Additional Accounting Support
· Assist with month-end close activities.
· Handle general financial data entry and filing.
Purchasing Support
· Assist with purchase order creation, tracking, and follow-up.
· Maintain vendor files, pricing databases, and supplier records.
· Coordinate with suppliers on deliveries, returns, and documentation.
· Handle general data entry and filing.
Clerical & Administrative Duties
· Scanning, copying, and filing.
· Provide backup administrative support to other team members as needed.
Data Entry
· Perform high-volume data entry with exceptional speed and accuracy into ERP systems, QuickBooks Online (QBO), and other company databases, maintaining the highest level of data integrity for critical financial, inventory, customer, and production records.
· Ensure precision and attention to detail on all entries to prevent costly errors, support compliance requirements, and enable reliable financial reporting while consistently meeting daily and month-end deadlines.
Qualifications & Requirements:
Education
· High School Diploma or equivalent required. College degree not required.
Experience
· 2+ years of administrative or clerical experience, ideally in a manufacturing, accounting, or purchasing environment. Experience with QuickBooks Online and aerospace/defense industry is a strong plus.
Technical Skills
· Computer savvy with strong proficiency in Microsoft Office Suite (especially Excel) and fast typing skills.
· Strong data entry skills with high accuracy and attention to detail.
· Familiarity with ERP systems and QBO preferred.

Work Schedule:
Approximately 30 hours per week, Monday – Friday, with flexible start times between 7:30 AM and 9:00 AM. Exact daily schedule to be determined based on mutual agreement and business needs.
Other:
Must be a U.S. Citizen or Permanent Resident (Green Card holder).

Competitive hourly rate of $21 – $26 per hour based on experience.
