POSITION: Records Clerk / Assistant to Terminal Agency Coordinator (TAC)

JOB OBJECTIVES:


The Records Clerk shall assist in the maintenance and retention of all records maintained in the records room as required by Department rules & regulations, and federal, state, and local laws. Additionally, this position is responsible for assisting the TAC with any NCIC related duties to include, but not limited to, warrant entries and validations for the NCIC database.

JOB REQUIREMENTS:

Must be able to pass a federal and state background process that enables access to confidential information and material; after successfully completing NCIC, CJIS, and Meters certification training, must be able to maintain those certifications; must complete work using proper composition, grammar, spelling, and punctuation; be proficient in computer programs such as Microsoft Word/Excel, Google Workspace and programs specifically used for law enforcement; ability to learn general reporting procedures, laws and ordinances; Great customer service skills and ability to communicate well with the public, court systems, and other local government agencies.


High school degree or G.E.D.; general office experience preferred.

MAJOR JOB FUNCTIONS:

General Records:

  • Post and file citations, warnings, municipal infractions, ERO’s and FIR’s;
  • Post and file incident and criminal reports;
  • Post and file arrests, criminal summons, warrants, and NCIC paperwork;
  • Post, file and mail collision reports;
  • Post and file Accident Reports
  • Sort and distribute US Mail;
  • Generate daily citation ledger to MD. District Court;
  • Prepare court paperwork for officers;
  • Record, sort and file court subpoenas;
  • Generate monthly reports;

  • Process all adult and juvenile arrests within a 72 hour period;
  • Post case management;
  • Complete expungement paperwork;
  • Report qualified juvenile referral notifications to Board of Education;
  • Background checks for appropriate agencies;
  • Provide assistance to the general public;
  • Answer and redirect incoming telephone calls to the police department;
  • Data Entry
  • Customer Service (handle daily public walk in requests/incoming phone calls)
  • Filing/Sorting/Faxing
  • Complete annual truck permits
  • Stored/abandoned vehicles (sending certified letters/release info to tow companies)
  • Ordering supplies (transmittals/citation books/motor vehicle law books)
  • Assist with other administrative duties as required


Assistant TAC duties:

  • Enter warrants into RMS and NCIC/Meters systems, file in appropriate location
  • Run criminal histories on subjects in Meters and CJIS systems
  • Send needed documentation back to District Court when served or expired
  • Maintain CJIS and NCIC log books
  • Maintain retention file
  • Enter criminal summons/show cause orders into RMS system
  • Send notification letters
  • Missing persons, ERPO’s, license plates, vehicles, guns, articles, boats, securities
  • Validations


Compensation:

  • Salary Range: $47,567.00 - $58,631 depending upon experience
