Busy commercial real estate office is seeking a highly organized, self-motivated and detail-oriented professional to provide administrative support to our owner/broker and agents. This is a full-time, onsite position performing a variety of administrative and clerical tasks and all related duties to ensure the office runs smoothly and efficiently and projects a professional image to our clients and colleagues. PLEASE STATE SALARY REQUIREMENT ON APPLICATION.

Responsibilities include:

· Answer, screen and route phone calls and emails promptly and professionally while respecting client confidentiality

· Prepare and accurately maintain various documents and forms relating to the sale or leasing of properties

· Create marketing materials such as brochures and flyers, incorporating photos, text, maps and other related information on the property

· Maintain property details on a variety of listing websites

· Use the internet to research property and sales information

· Maintain accurate, up-to-date files, records and contact lists, both manual and electronic

· Maintain records of affiliated agents’ licensing and educational requirements and track completion and compliance

· Respond to governmental reporting requirements in a timely manner

· Monitor and order office supplies as required to ensure a well-stocked office

Requirements:

· Previous business experience as an administrative assistant, executive assistant or office manager

· Experience with and understanding of basic business processes and office procedures

· Excellent time management skills and the ability to prioritize tasks in a constantly changing environment

· Advanced computer skills, including proficiency in Microsoft Office Suite, Adobe, Google Earth and other commonly used applications, as well as the ability to independently use the internet to search out information relating to properties’ locations, zoning restrictions and other attributes

· Pro-active, problem-solving approach to daily activities

· Proven ability to work with minimal supervision

· Excellent verbal and written communication skills

· Always presenting a professional image, both in person and on the phone, to clients and colleagues
