JOB FUNCTION:
The Payroll Specialist is responsible for processing and administering payroll operations for both U.S. and Canadian employees, ensuring accuracy, compliance, and timely execution. This role involves wage calculations, processing deductions and garnishments, auditing payroll data, and providing employee support. The Payroll Specialist ensures compliance with federal, state, and provincial regulations, assists with system troubleshooting, and collaborates with HR and finance teams to optimize payroll processes. Success in this role requires strong analytical skills, attention to detail, and a deep understanding of payroll systems, taxation, and reporting requirements
ESSENTIAL FUNCTIONS:
1. Process multi-state and multi-province weekly, bi-weekly and semi-monthly payroll cycles for U.S. and Canadian employees.
2. Enter and/or validate payroll data, including hours worked, direct deposit banking data, and deductions.
3. Calculate retroactive wage payments and adjustments as needed.
4. Process and maintain garnishments, child support orders, levies, and bankruptcies in compliance with regulations.
5. Coordinate the collection of benefit arrangements with the benefits partner.
6. Ensure payroll data integrity by analyzing discrepancies and implementing corrections.
7. Provide guidance and support to employees regarding payroll-related inquiries.
8. Process ADP password resets
9. Process W-2 reprint requests and assist employees with electronic delivery sign-up.
10. Maintain compliance with federal, state, local, and provincial tax laws, staying informed of legislative changes.
11. Support system upgrades, testing, and implementations related to payroll and timekeeping software, as needed.
12. Complete all assigned training and monthly safety observations.
13. Perform additional payroll-related duties as assigned.
QUALIFICATIONS:
1. Proficiency in payroll systems and software, including Microsoft Office, JD Edwards, Business Intelligence, and ADP Workforce Now (WFN).
2. Strong analytical and numerical skills with the ability to reconcile payroll discrepancies.
3. Excellent organizational and time management skills to meet strict payroll deadlines.
4. Deep understanding of multi-state payroll tax laws; Canadian payroll experience preferred.
5. Strong verbal and written communication skills to explain payroll policies and resolve employee inquiries.
6. Associates Degree in Business or related field preferred.
7. High School Diploma with strong emphasis on bookkeeping required.
8. 3-7 years of experience in multi-state payroll processing.
