POSITION: ADMISSION COORDINATOR
FLSA STATUS: NON-EXEMPT
JOB SUMMARY: The Admission Coordinator organizes and performs the necessary functions related to the admission and discharge of health center residents within designated timeframes. The admission coordinator is responsible for the development and publication of health center admission statistics and reports census status at daily and other meetings and committees as directed. This position is also responsible for providing tours, answering and following-up on health center admission inquiries and assisting with special event functions.

- Answer inquiries and conduct tours with potential health center residents and/or family members.
- Follow up on all inquiries; determine if an admission is appropriate for placement at the health center, until placement is achieved.
- Verify insurance coverage and conducts pre-authorization checks on any admission to the health center.
- Verify all forms in the admission packet are completed and distributed to the appropriate file.
- Ensure administrative and clerical functions, related to the admission and/or discharge of health center residents, are carried out to completion.
- Maintain and distribute accurate daily census reports including daily bed holds, change of payer, transfer/discharge notices, and temporary/permanent assignments.
- Maintain and update information in appropriate systems regarding discharge and deaths of health center residents.
- Develop and submit health center admissions and sales reports.
- Oversee and/or maintain documentation for referral marketing systems such as All-Scripts, inquiry logs, admission summary report, etc.
- Develop, implement, and maintain a formal health center admission process, focusing on optimizing payor source.
- Ensure all necessary health center contracts and required paperwork are completed and follow proper signature authorizations.
- Understand the implications of different payor sources to the revenue model and goals at the community.
- Work closely with the licensed administrator and director of nursing services along with other admission team members to ensure potential health center admissions are clinically appropriate.
- Comply with applicable federal, state and local laws, rules, and regulations; maintains knowledge of and follows all company policies and procedures.
- Maintain regular and punctual attendance at work and meetings.

Requirements:
JOB REQUIREMENTS:
High school diploma or equivalent
Three years of experience performing the essential functions of the position or similar role.
KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:
Proven customer service/ public relations/ marketing experience; ability to prioritize and complete a variety of tasks.
Advance knowledge of office equipment including computer, calculator, fax and copier machines and software programs (MS Office: Word, Excel and PowerPoint).
Solid organizational skills including attention to detail and multi-tasking skills.
Ability to read, write and speak English sufficient to perform job duties and to interact and communicate with residents, vendors, and team members.
ENVIRONMENTAL AND PHYSICAL ACTIVITY REQUIREMENTS: The physical activities of this position constantly require effective talking, hearing, sitting, walking, and standing functions. The position also often involves sedentary work where sitting is required most of the time, with occasional standing or walking. The position also is often requires exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Must be able to perform activities with close visual acuity, such as reading a computer screen and reading print material. The functions of this position are conducted in a temperature-controlled environment.
INTELLECTUAL/EMOTIONAL REQUIREMENTS: The occupant of this position must be able to perform the responsibilities of the position well under pressure. The position requires adaptability to performing a variety of duties, often changing from one task to another without loss of efficiency or composure. This position requires the ability to deal with and find resolution to problems and maintain a productive working relationship with team members and may be interrupted frequently to meet the needs and requests of others. It also requires adaptability to fluctuate between priorities daily while being responsive to needs as they arise.
