Scope:

The Client Services Coordinator (CSC) is responsible for helping to support the Client Services department to ensure that positive account relationships are maintained and daily tasks are completed. This role includes significant consulting with Client Services team members to help support customers by processing, organizing and tracking of clinical documentation necessary for specimen processing and billing, as well as other clerical duties. The CSC is responsible for helping to delivery outstanding service to achieve the highest level of customer satisfaction.

Essential Duties and Responsibilities:

  • Support Client Service, Triage, Laboratory, Reimbursement and Pathology staff through efficient and knowledgeable interactions by telephone, telecommunications, and in person.
  • Request any missing information from clients and customers with professionalism and efficiency as needed by laboratory personnel and pathologists.
  • Main clerical duties as follows:
    1. Responsible for answering main phone line for deliveries and visitors entering building
    2. Labeling and filing (documentation and some archival specimens)
    3. Sending and monitoring incoming documents via fax
    4. Mailing and shipment of documents/specimens
    5. Organize and schedule clinical staff phone consultations
  • Provide professional interaction with clinical and administrative staff
  • Resolve time sensitive or complex issues with support of Client Services team
  • Assist Client Services, Triage and Reimbursement staff with day-to-day clerical needs, including issue resolution, medical record review, data entry and other projects as needed.
  • Perform accurate and timely entry of client and case related information in the IDX LIMS data management system.
  • Provide assistance for external vendors to assist with ordering of testing supplies for clients, answering questions and providing timely follow up.
  • Maintain professional interaction and communication with IDX team members to assure that the customers’ needs are met.
  • Assist teams in collection of required medical records for accurate reporting and billing of clinical specimens.

Education and/or Experience:

  • B.S. preferred or equivalent in experience
  • 1 year experience in clerical work and customer service
  • Experience in science or medicine is preferred

It is necessary to view and type on computer screens for prolonged periods of time.
